Position Title: Assistant Director of Administration and Partner Support

Department Name: GGU Worldwide

Position Reports To: Associate Dean of GGU Worldwide

FLSA STATUS: Exempt

Salary Range: $73,000 - $75,000.00

Days & Hours: Monday through Friday, 37.5 hours per week. Standard work schedule is 9:00 am to 5:30 PM, may be adjusted. A flexible schedule may require evening and weekend hours during peak periods.

Location: Hybrid - SF campus and online

BASIC FUNCTION AND SCOPE OF JOB:

Reporting to the Associate Dean of GGU Worldwide, this position provides critical supervision and support to academic programs offered by GGU Worldwide and the academic and administrative activities for these degrees and partners' student success activities. This position involves assisting with program, project, and budget management, partner relations, collaboration, and assessments; facilitating Global Professor of Practice (GPP), Subject Matter Expert (SME), and doctoral dissertation committee appointments; coordinating with internal GGU departments, supporting online and on campus partner programming; and supporting GGU Worldwide student success by performing the following duties personally or through supervised staff.

ESSENTIAL FUNCTIONS:

  • Help faculty and staff find solutions and answers to issues and concerns relating to University and GGU Worldwide academic policy, program, and processes.
  • Assist faculty directors, program coordinators, and student assistants on matters pertaining to HR, staffing, and budgeting needs and educational and University policies and procedures.
  • Supervise and manage the workload of program coordinators and student assistants.
  • Assist dean/associate dean in GGU Worldwide input and involvement in WASC related activities, assessments, and reports.
  • Act as the primary point of contact and problem-solver for addressing concerns brought forth by students, program directors, academic advisors or representatives of other University departments.
  • Maintain up-to-date knowledge of various programs and databases used throughout the University for student management, recruitment and admissions, student advising and planning, finance and HR platforms.
  • Assist dean/associate dean on budgeting, revenue initiatives, and cost control activities.
  • Act as the primary point person for GGU Worldwide course scheduling (i.e., Smartsheets) to ensure efficiency.
  • Support faculty and staff in providing students with excellent learning experiences.
  • Coordinate with dean, associate dean, program directors, and faculty on curriculum development, revisions, articulations, and quality assurance.
  • Provide administrative support for academic changes that must go to Curriculum Quality Committee (CQC), Curriculog, and Committee on Academic Standards (CAS).

Partnership Support

  • Assist Vice Provost for Global Affairs, Deans, and Faculty Directors in maintaining collegial relations with international education partners.
  • Help facilitate partnership agreements and articulations.
  • Assist GGU faculty and partner institutions in curriculum articulation and credit transfers.
  • Facilitate partner interactions with Admissions, Enrollment Services, Marketing, Graduate Advising, Career Center, Academic Affairs, Faculty Affairs and other departments that are related to student services.
  • Mobilize GGU Worldwide support for International Student Services (ISS) and international partner orientations and other ISS activities.
  • Manage staff support for GGU tuition and non-tuition revenue partnership projects including immersions, training, and study tours.
  • Help ensure DHS/SEVIS compliance of GGU Worldwide operations including consulting with PDSO/DSO and other International Student Services (ISS) as necessary.
  • Assist in webinars to promote, engage, and coach prospective students, including visa interview preparation.
  • Additional duties and responsibilities as needed.

Qualifications

QUALIFICATIONS:

  • Education requirement: Master's level degree in business administration, education, public administration, nonprofit management, leadership or a related field required.
  • Years of experience: 5-10 years' experience in academic administration, international education, and international partner support required.
  • Knowledge of: curriculum support and student success software and systems, such as Smartsheets, Curriculog, Recruit, Colleague, Salesforce.
  • Skills and abilities: DEIB sensitive; project management software preferred; linguistic abilities beyond English a plus; strong leadership, teamwork, communication, collaboration, client/customer relationship management and problem-solving skills.
