I: Job Summary

Senior SAP Scheduler/Planner is responsible for daily planning and scheduling of calibration and maintenance activities in SAP to achieve on-time results. A self-starter who is part of an effective and diverse team. Maintains high attention to detail while working in a dynamic environment. Must have thorough knowledge of scheduling and planning calibration and maintenance activities, as well as GDP guidelines. Must be self-motivated and able to maintain extensive production schedules to support GxP activities.

II: Key Responsibilities

  • Senior SAP Metrology Scheduler/Planner responsibilities:

i. Planning and scheduling internal Client scheduled and unscheduled maintenance and calibration activities with technicians, internal customers, and management for minimal interruption to operations.

ii. Review and triage SAP notifications for maintenance and calibration, ensuring proper information is present and verified prior to releasing work orders for execution.

iii. Review scope of work to include estimating cost, technician hours, work activities, parts and consumables, identify required permits (confined space, LOTO, hot work, etc.) and notify affected personnel.

iv. Coordinate with MRO to ensure material stock is adequate for scheduled work.

v. Ensure duties and responsibilities are carried out in accordance with established GxP regulations and site Standard Operating Procedures (SOPs).

vi. Utilize a Computerized Maintenance Management System (CMMS) (SAP and CMX) to assign work to appropriate personnel and generate reports.

vii. Hold planning/scheduling meetings to review work orders and prepare work schedules to align with production schedules.

viii. Collaborate with applicable departments to plan activities and resource allocation to support shutdown.

ix. Coordinate onsite vendor work with technicians and equipment owners, as applicable.

x. Support equipment lifecycle process, including SAP master data entry.

xi. Develop metrics and generate reports to track key performance indicators (KPIs), when applicable.

xii. Interact effectively with peers, technicians, internal customers, and management to achieve desired outcomes.

xiii. Participate in investigation of scheduling/planning related quality issues and root cause analysis efforts, if applicable.

xiv. Seek to improve the overall function of the department by anticipating problems and initiating appropriate actions to eliminate them.

xv. Review trends affecting production schedules and escalate deficiencies to management. Identify and suggest initiatives for continuous improvement of process, quality, safety, and efficiency.

xvi. Participate in required training.

xvii. Perform work safely and in compliance with site requirements.

III: Education, Experience & Skills

  • 4+ years of scheduling/planning experience.
  • 2+ years of pharmaceutical or GMP industry scheduling/planning, or related field.
  • Knowledge of pharmaceutical equipment, facilities, calibrations, and maintenance is required.
  • Must be proficient in Microsoft Office Suite Products.
  • Must have outstanding written and oral communication abilities, as well as good decision-making skills.
  • Excellent time management skills and the ability to handle several tasks simultaneously.
