ABOUT THE POSITION:
The Grants System Associate is responsible for day-to-day support, configuration, and championing the use of Salesforce throughout the organization. This role is primarily a Salesforce Administrator and will serve as a partner in the architecture of Salesforce with oversight by the Salesforce Grants System Manager.
The Grants System Associate plays a key role in the organization's effort to work in a user-oriented, data-driven system, and works with all departments and teams to deliver important changes in a timely fashion. They will work closely with the Grants System Manager to deliver projects and keep documentation up to date through design, development, testing, and implementation, and will provide support and service to internal and external users of varying skill levels.
Reporting to the Director of Grants Operation, this role serves as a trusted collaborator across multiple teams with the aim of instilling a culture of effective use of Salesforce to advance the Foundations' mission.
Specific responsibilities include, but are not limited to the following:
Salesforce Administration (75%)
  • Assist with critical administrative functions including user management, page layout updates, new field creation, general maintenance, and other tasks as needed and in accordance with best practices.
  • Support and communicate regularly with internal and external users to provide support and ensure functionality meets their needs.
  • Deliver Salesforce-related projects in partnership with Grants Associate, from design to implementation, with the Salesforce Grants System Manager, ensuring that projects are implemented successfully, and communication is done proactively to appropriate stakeholders.
  • Maintain the Foundations grantee portal to ensure ease of access and understanding for external users.
  • Troubleshoot issues with Foundations staff to ensure their issues are solved in a timely manner.
  • Create and update tickets based on staff feedback, "Salesforce Administration by Walking Around" (SABWA), or office hours, and work with the Salesforce team to prioritize cases.
  • Manage access to third-party plugins like DocuSign E-Sig/Gen, Tableau, and Rollup Helper.
  • Perform data updates and changes as needed by the organization
Salesforce Training (10%)
  • Assist Grants Management team with onboarding of new staff, related to their Salesforce training and onboarding.
  • Work with the Salesforce Grants System Manager and Grants Data Manager to develop training curriculums for each quarter.
  • Deliver occasional trainings in front of the Foundations Staff and provide updates to training modules as needed.
Data Analysis and Business Intelligence (10%)
  • Create Reports, Dashboards, and Tableau Projects as needed at the request of the Foundations staff and Grants Management team.
  • Maintain Reports and Dashboards in Salesforce to ensure data accuracy based on annual filtering, or manual field updates.
  • Analyze and report on key metrics in coordination with the Grants Data Manager.
Other (5%)
  • Participate in the Salesforce Taskforce, Grants Management team meetings, and additional teams as desired.
  • Ensure updates to Salesforce documentation are complete, and that the user guides are up to date when configuration changes are made.
  • Keep up to date on all Salesforce releases, and their impact within the Fidelity Foundations implementation of Salesforce.
CANDIDATE REQUIREMENTS:
It is critically important that the Grants System Associate be a highly collaborative and collegial team player who listens and communicates well.
To be considered, candidates will possess a majority of the following professional and personal attributes and competencies:
  • One to three years of direct Salesforce administration experience, or two to four years of Salesforce super user experience:
    • Salesforce Administrator certification preferred.
    • Experience with building, debugging, and troubleshooting Flows preferred.
    • Experience with Salesforce Experience Cloud, DocuSign e-Sig, Gen and CLM, Tableau, and Rollup Helper as Salesforce-enhancing tools preferred.
    • Proven track record with managing Salesforce projects from discovery to completion, including user training.
    • Familiarity with SOQL and Apex, with an ability to run SOQL queries to gather data or answer questions preferred.
  • One to two years of experience with Tableau Cloud and using Tableau in data analysis (or willingness to obtain Tableau Certification).
  • Hands-on experience with Salesforce products, specifically Salesforce Lightning experience.
  • Strong interpersonal skills, patience, and understanding to establish effective working relationships with all levels of the organization.
  • Familiarity with Salesforce data model concepts and architecture, in addition to security features like sharing rules, permission sets, validation rules, etc.
  • Strong written and verbal communication skills, with the ability to communicate technical concepts to non-technical staff members.
  • Critical thinker and problem solver who can work to diagnose issues before communicating possible solutions to the Salesforce Grants System Manager and other key parties.
  • Experience using business intelligence and analytics tools like Tableau to report on key data for all levels of the organization.
  • Collaborative workstyle who can work well as part of a dynamic, highly productive and integrated team; ability to maintain flexibility and effectively manage ambiguity in a responsive work environment.
  • Self-motivated, resourceful, creative, and able to work independently on specific tasks and work assignments.
  • Open to giving and receiving feedback on a regular basis, in a constructive fashion.
  • Ability to maintain strong confidentiality for information encountered during day-to-day work.

This position will be based in Boston, MA on a hybrid schedule with a weekly requirement to work in-person with colleagues; successful candidates will need to undergo a comprehensive background check.
