SUMMARY
The Medical Assistant supports the clinical operations at the geriatric mental health clinic and its satellite clinics by managing the clinics' appointment schedules and assisting with care coordination greeting persons coming into the clinic, answering the phone and responding to inquiries, maintaining office inventories and ordering supplies, collecting patient copayments, and, generally, participating in ensuring that the office runs smoothly.
DUTIES AND RESPONSIBILITIES
  • Assist clinicians in obtaining medical history and documentation
  • Assist patients with the completion of intake paperwork including consent forms
  • Care coordination with other providers including medical, mental health, insurance companies, and pharmacies
  • Manages the scheduling of all face-to-face and telehealth appointments for all clinicians, at the clinic, and at all satellite locations, in the clinic's electronic record-keeping system, according to clinicians' instructions, including scheduling return appointments on checkout, and rescheduling canceled and missed appointments
  • Ensures timely and appropriate responses to medical record requests
  • Provides assistance and backup with:
    1. Responding helpfully and appropriately to incoming communications by phone, email, and fax, and/or redirecting the communications to appropriate parties
    2. Greeting people on arrival at the clinic and informing appropriate parties of their arrival, checking in patients, including verifying insurance and demographic information, collecting co-pays and balances, and processing credit and debit cards
    3. Making appointment reminder calls
    4. Updating patient demographic information in the system
    5. Scanning, filing, and other clerical tasks, as needed
    6. Ordering supplies and maintains inventory
    7. Opening and/or closing the clinic and maintaining the waiting area and other common areas
    8. Providing support to patients with arranging transportation as needed
  • Participates in department meetings, regular supervisory conferences, and other meetings and trainings as required
  • Other duties as may be required
QUALIFICATIONS
  • Certified Medical Assistant or Bachelors Degree with 1-2 years of relevant experience, preferably in a clinic/healthcare setting
  • Computer proficiency required and database/electronic health record experience preferred
  • Meticulous attention to detail, results oriented, and strong organizational skills
  • Pleasant, welcoming demeanor; enjoys interacting with colleagues and community
  • Ability to work under pressure
  • Ability to work independently and seamlessly as part of a team, demonstrating flexibility, adaptability, and creativity
