AP・AR Coordination
• Enters, applies, and posts daily cash receipts such as cash, checks, wire transfers, and credit cards to invoices in the system.
• Prepares and transmits bank deposits.
• Maintains bank accounts by monitoring transactions, balances, and outstanding/pending amounts.
• Monitors and processes credit card payments and adjustments.
• Responsible for collection and ensures customers pay on time by sending statements for customers with overdue accounts.
• Posts accounts payable and receivable entries, answers inquiries, and follows up as necessary.
• Gathers necessary information to set up ACH/Wire transfer activities.
• Performs accounts payable clerical tasks such as reviewing, posting bills, communicating with vendors, and preparing payments such as checks/ACH/Wire transfers.
• Reconciles bank statements by comparing statements with the general ledger.
• Supports the Office Manager in processing month-end, quarter-end, and year-end closing related tasks.
• Cooperates and supports the Office Manager with minor tasks for external auditors required for conducting annual year-end audits, sales tax audits, etc.
Administrative/HR
• Manages and maintains timecards, vacation, and sick leave balances of each employee.
• Greets visitors and directs them to designated personnel; provides general support to visitors.
• Responds to and directs telephone calls; takes or transfers messages as necessary.
• Maintains office supplies and equipment; refills supplies and plans for repairs as necessary.
• Arranges hotel, airline, rental car, and taxi reservations for management and guests from abroad.
• Communicates with third-party vendors.
• Sends mail and packages; receives, sorts, and distributes daily mail to appropriate personnel.
• Periodically prepares various administrative reports for management.
• Sorts and maintains files of received data and source documents.
• Makes appointments, coordinates meetings, and schedules conference rooms for management.
• Performs data entry and scans documents.
• Assists in resolving any administrative problems.
• Runs company errands when necessary.
• Suggests management office improvement ideas.
• Supports management in any administrative/HR-related work and special duties assigned by management.
• Seeks constant improvement, more efficient, and less expensive ways and means in work processes.
• Performs special projects and other miscellaneous duties as assigned by management.
• Maintains high ethical standards in the workplace.
• Reports all irregular issues and problems to management for resolution.
• Maintains good communication with management, office staff members, and outside contacts.
• Complies with all company policies and procedures.
• Responsible for maintaining a clean and safe working area.
• Supports co-workers and other departments when requested by management.
QUALIFICATIONS
EDUCATIONAL Bachelor’s degree (B.A.) from a four-year university; or equivalent combination of education and experience.
WORK EXPERIENCE Accounting-related work for more than 1 year preferred.
