Job Overview We are seeking a highly motivated and experienced Director of Operations and Special Projects to join our national non-profit organization, committed to the advancement of Latino professionals. In this pivotal role, you will oversee the daily operations while spearheading significant projects aligned with our mission. Reporting directly to the Chief Operating Officer, you will play a key role in ensuring we meet our strategic objectives and nurture an inclusive workplace culture.

Key Responsibilities

  • Design, implement, and evaluate operational systems and procedures to align with our organizational goals.
  • Formulate strategies and enhance processes to optimize productivity and minimize expenses.
  • Supervise the integration of strategic planning initiatives into our operational dashboard.
  • Lead the Human Resources department while collaborating with administrative staff and external vendors.
  • Cultivate and sustain relationships with departmental leaders and external partners to advance operational effectiveness and strategic goals.
  • Assess key performance metrics to guarantee timely completion of tasks.
  • Maintain and refine Standard Operating Procedures.
  • Ensure adherence to policies, standards, and applicable legal requirements.
  • Collaborate with Human Resources to promote a respectful, inclusive, and effective work environment.
  • Organize logistics for our annual summit, gala, and other organization-wide initiatives.
  • Direct procurement processes and ensure efficient resource management.
  • Enhance customer satisfaction by managing support services effectively.
  • Review financial documents and modify budgets to ensure organizational profitability.
  • Oversee the management of our website, merchandise store, and technology resources.
  • Serve as the main contact for legal counsel on matters such as copyright and licensing.
  • Administer the renewal and negotiation of the organization’s insurance policies and subscriptions.
  • Perform general office duties, including administrative tasks and coordinating travel arrangements for senior leadership.

Required Skills

  • A Bachelor’s degree (or equivalent) in business administration or a related discipline.
  • A minimum of 5 years in a leadership capacity within a relevant industry.
  • At least 3 years of experience in logistics and operations management.
  • Outstanding organizational, communication, and leadership abilities.
  • In-depth knowledge of operational functions, including finance, customer service, and employee management.
  • Proven track record of managing multiple priorities in a fast-paced environment with limited oversight.
  • Experience in planning and executing operational efficiencies.
  • Familiarity with industry regulations and compliance standards.
  • A commitment to empowering the Latino community and fostering inclusive workplaces.
  • Strong leadership skills with the capacity to manage diverse teams and projects.
  • Proficiency in budget management and business planning.
  • Excellent negotiation capabilities.
  • Competent in data analysis and performance metrics, utilizing business management software (e.g., SAP, ERP, CRM).
  • Proficient with various technology platforms and CRM tools (e.g., Hubspot, Monday.com, Microsoft).
  • Willingness to travel domestically as required (15-30%) and attend events during early mornings, evenings, and weekends.
