GENERAL SUMMARY/ OVERVIEW STATEMENT: Summarize the nature and level of work performed.

Under the general supervision of the Medical Director of the Cardiovascular Performance Program & Cardiopulmonary Exercise Testing (CPET) Lab and the Administrative Manager for Cardiovascular Medicine, the Program Manager will be responsible for the operational management of the Cardiovascular Performance Program and the cardiopulmonary exercise testing laboratories and will facilitate relationships with key partners.

Drawing on a broad understanding of hospital practices and policies and displaying a high degree of initiative and independent judgment, the Program Manager will continually assess and direct a wide range of programmatic issues including personnel management, long-range planning, project development, research protocol administration, and facilities management. S/he supports the operations, policies, and initiatives of the program, the Cardiology Division, and the Heart Center.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  1. Hires, oversees orientation and training, provides corrective action as necessary, evaluates performance, implements hospital policies, and ensures adequate coverage for all areas of responsibility.
  2. Acts as key point of contact for all members of Cardiac Performance Program to provide direction and guidance regarding day-to-day issues and activities within the program. Key point of contact for all staff regarding issues related to human resources.
  3. Understand and complies with Federal and State labor laws as well as hospital policy in time reporting.
  4. Program Management
  5. Evaluates and standardizes program procedures and effectively troubleshoots and resolves issues as they arise.
  6. Informs staff of inter and intradepartmental policy and procedure changes. Is responsible for corrective approaches when these are not followed.
  7. Develops, implements, and oversees the maintenance of documentation, record keeping, and other types of program systems.
  8. Acts as the liaison to other Cardiology units or hospital departments regarding security, safety, information resources, etc.
  9. Ensures that the physical environment of care is maintained. Understands and enforces safety regulations for the CPET Lab, following established protocols, and ensures compliance with the Joint Commission, DPH, and Hospital guidelines.
  10. Assesses clinical equipment acquisition and training needs and makes recommendations to management. Suggests upgrades, as appropriate, to enhance program effectiveness. Functions as the liaison between the program and Cardiology Information Systems / Partners eCare.
  11. In collaboration with Cardiology Administration, manages CPET Lab space including interactions with MGH Buildings & Grounds and the MGH Planning Office. Includes handling all questions, issues and problems that arise with regards to space.
  12. Ensures that the Cardiac Performance Program’s environment of care is safe/accessible and welcoming.
  13. Key giver for employees needing access to Shared File Areas, CPET clinical informatics system, etc.
  14. Exercise Physiology / CPETs
  15. On an as needed basis:
  16. Maintain the laboratory’s database.
  17. Upload CPET results for all patients in Epic.
  18. Serve as initial point of contact / oversight for direct new patient referrals and Heart Center Access Office referrals.
  19. Screen initial patients to confirm appropriateness for CPP.
  20. Explain service offerings of CPP.
  21. Confirm our policy of collaborating with referring physicians.
  22. Determine necessity of pre-visit record retrieval / same day testing for upcoming visit.
  23. Triage new patients to CPP providers.
  24. Delegate scheduling tasks to CPP PSC.
  25. Ensure scheduling loops are closed and all referrals are vetted in < 2 business days.
  26. Liaison with External Referral Sources
  27. Serve as point person for the numerous organizations that the program has a referral relationship with:
  28. Colleges and universities.
  29. Professional Sports Teams.
  30. MGH Home Base Program.
  31. Explore potential collaboration with new organizations for potential patient referrals.
  32. In collaboration with Cardiology Administration, oversees and manages annual budgets, including developing, implementing, and reporting on financial activity.
  33. Identifies and evaluates the means for improving program costs, distribution of personnel, and work schedules. Makes recommendations for improvements to the Cardiac Performance Program director and Cardiology Administration.
  34. Contributes to the financial management of the Cardiac Performance Program by submitting salary distributions, expense reports, and purchase orders.
  35. Oversees all purchasing for the program.
  36. Develops and leads special program projects.
  37. Participates in budget preparation and ongoing financial monitoring.
  38. In collaboration with program leadership, Cardiology Administration, and the MGH Development Office identify potential philanthropic opportunities.
  39. External Relations
  40. In collaboration with the Program Director and Cardiology Administration, oversees the Cardiac Performance Program website and social media accounts. Ensures that it promotes current and accurate information.
  41. Supports program outreach activities, ensures the most effective use of resources.

QUALIFICATIONS:

3-5 years of related experience. Past exercise science and/or health administration experience is highly desired but not required. Master’s degree, desirable.

LICENSES, CERTIFICATIONS, and/or REGISTRATIONS:

Qualifications:

  • BS/BA Exercise Science/Kinesiology/Exercise Physiology (required).
  • ACSM Exercise Physiology Certification (preferred).
  • CPR/BLS/ACLS (required).
