The Facility Services Coordinator plays a vital role in supporting the daily operations of The Potomac School’s facilities, focusing on the oversight of custodial services and event setups during the afternoon and evening hours. Reporting to the Facility Services Manager, this position ensures that the school's facilities are clean, safe, and ready for evening events and the following day’s activities. The Coordinator oversees the evening custodial team, handles immediate operational needs, and assists with event execution. The ideal candidate will be detail-oriented, reliable, and capable of managing a team while coordinating with various departments.

Key Responsibilities: Custodial Oversight:
  • Coordinate daily cleaning tasks for the evening custodial team to maintain the cleanliness and sanitation of classrooms, restrooms, common areas, and administrative offices.
  • Ensure evening staff adhere to established sanitation protocols and uphold cleanliness standards.
  • Work closely with the Facility Services Manager to ensure that daily cleaning schedules are followed, and any operational needs or issues are promptly addressed.
  • Oversee the restocking of cleaning supplies and report inventory needs to the Facility Services Manager for timely replenishment.
Event Support:
  • Assist with the setup and breakdown of events, ensuring that evening events run smoothly and that all logistical requirements are met.
  • Serve as the on-site contact for event organizers during the evening, addressing any last-minute requests or issues in coordination with the Facility Services Manager.
  • Ensure that all event spaces are properly cleaned and reset after events for the next day’s activities.
Collaboration and Coordination:
  • Coordinate closely with the Facility Services Manager to ensure smooth transitions between day and evening operations.
  • Communicate with other school departments to confirm that facilities are prepared for evening events, activities, and next-day readiness.
  • Assist with maintaining proper waste disposal and storage organization during the evening shift, following guidelines set by the Facility Services Manager.
  • Coordinate with the evening custodial team, ensuring the vendor understands the roles and responsibilities and completes tasks efficiently.
  • Monitor vendor performance, providing feedback and support as needed to ensure high standards of cleanliness and service.
  • Communicate any performance or operational issues to the Facility Services Manager for further action or resolution.
  • Ensure staffing coverage aligns with the evening's cleaning schedule and event needs, partnering with the vendor to adjust assignments as necessary to address any changes in the workload.
Safety, Compliance, and Documentation:
  • Ensure compliance with school health, safety, and sanitation protocols during evening operations, reporting any concerns or issues to the Facility Services Manager.
  • Conduct regular inspections of facilities during the evening to identify and address any immediate maintenance or safety needs.
  • Maintain accurate and thorough documentation of safety inspections, cleaning schedules, incident reports, event setups/teardowns, and any corrective actions taken to ensure compliance with school standards.
  • Ensure proper record-keeping of staff training, event support, and safety protocols, facilitating effective communication and accountability.
Qualifications:
  • High school diploma or equivalent required; some coursework in facilities management or a related field preferred.
  • Minimum of 3 years of experience in custodial services, facilities operations, or event coordination.
  • Fluency in both Spanish and English is a plus, as the position will involve managing a diverse team where Spanish is the primary language for many employees.
  • Demonstrated ability to coordinate small teams, ensuring tasks are completed efficiently and to established standards.
  • Strong interpersonal and communication skills, capable of addressing evening staff and working with event organizers and other departments. Ability to quickly solve operational issues or escalate to the Facility Services Manager as needed.
  • Basic knowledge of cleaning equipment and products. Familiarity with work order or scheduling systems is a plus.
Work Schedule:
  • This is a full-time position with a standard workweek of 40 hours.
  • The typical schedule is Monday through Friday, with core hours between 1:00 PM and 9:00 PM.
  • Flexibility is required to accommodate the school’s event schedule, which may include evenings, weekends, and occasional holidays.
