The Family Support Intake Coordinator reports the Family Support Supervisor. This is a part-time role (20-30 hours per week) all on-site.Responsibilities:Screen, greet and assist visitors and callers to the agency, and direct them to appropriate personnel. Answer phones, forward calls, take and relay accurate and complete messages. Sort, open as required, and distribute daily incoming mail. Handle outgoing mail, prepare for morning pickup, and transport postal packages to proper facilities for delivery as needed/assigned.Answer and forward all incoming phone calls, taking messages when needed.Monitor employees calendars for appointments.Keep records of daily visitors.Collect and enter data in the ETO Quality Database, DCFS Database, and HMIS Database. Maintains databases and produces various reports.Assist in managing client files for the IHFS programs.Interview individuals or family members to compile information for admission to services.Monitor office equipment and supplies, process requests, and order office supplies for agency/office.Prepare memos, correspondence, reports, etc. for the signature of the manager and other personnel as directed, and review final draft of each document for accuracy. Prepare copies and documentation and correspondence as requested.Maintain site phone system and directory. Reset voice mail for new staff as needed.Maintain the front reception area, ensuring space is clean and tidy.Maintain and update staff bulletin boards, and display and remove office decorations for reception area.Create and prepare spreadsheets and other forms as required.Assist community members and other individuals with information and referrals to public or private agencies or community services for assistance.Compile and maintain a database of community resources.Participate in outreach activities with schools, youth-service agencies/organizations, therapists, doctors, dentist, lawyers, law enforcement, juvenile court personnel, businesses, job training organizations, neighbors, churches, etc.Act as a liaison to the community and participate in community activities, events, functions, holiday traditions and celebrations, task forces, meetings etc. Responsible for intervention and treatment process for families referred for or seeking In-Home Family Services.Maintain complete, accurate, and current service reports on families served including timely written case notes, treatment plans, family assessments and court reports as required and/or requested by DCFS, referral sources a nd One Family.Conducts audits of client files at least quarterly.Coordinates effectively with families and community agencies for the maximum utilization of available resources to address the service goals of the cases assigned.Prepares and submits reports and/or recommendations to the direct supervision concerning case load status, budget requests, and changes in service plans, and any unusual incidents that occur in the operation of the program. Perform on-call duties as needed to carry out the responsibilities as required.Communicates problems and issues within the department to the Family Support Supervisor.Must be able to function independently and have flexibility, personal integrity, and the ability to work effectively with children and families, staff, and support agencies.Completes all mandatory agency and job specific training.Represents the organization and its clients in a profe
