Job Requirements / Description

Project Planning & Scope Management:

  • Partner with Account leads to create and maintain deliverables lists for all current and upcoming client projects, ensuring clear alignment with client expectations.
  • Proactively review existing client SOWs to flag out-of-scope requests and raise them for appropriate resolution.

Scheduling & Workflow Management:

  • Develop workback schedules for all creative development phases, adhering to client deadlines and collaborating with the Production team to ensure smooth execution and quality outcomes.
  • Track progress on creative deliverables, identifying roadblocks and escalating issues to the creative leadership team in a timely manner.

Resource Coordination:

  • Monitor team capacity, escalate any resourcing gaps or workload concerns, and coordinate with internal teams to prevent bottlenecks.
  • Ensure that team members are equipped to handle project requirements, reallocating resources as needed to maintain efficient workflow.

Documentation & Communication:

  • Maintain accurate and up-to-date project tracking documents, communicating progress, changes, and updates regularly to the account, creative, and leadership teams.
  • Assist creative and account teams in organizing Google Drive folders to ensure that all relevant project files are easily accessible.

Asset Management:

  • Oversee the management of creative assets, facilitating their organization and conversion into a Digital Asset Management (DAM) system or permanent server solution for long-term use.

Process & Compliance Stewardship:

  • Collaborate with the Director of Creative Operations & PM to champion internal processes, ensuring compliance with established workflows and maintaining alignment across all teams.

Asset Management & IP Organization:

  • Organize and manage all creative assets and intellectual property (IP) within the DAM server. Oversee the migration of assets from local drives to cloud-based storage solutions like Google Drive or Box, ensuring seamless access and proper categorization for future use.

Client Communication & Relationship Management:

  • Support Account leads in client-facing discussions, particularly around scope, timeline, and delivery concerns, while ensuring expectations are clearly communicated and managed.

Risk Management:

  • Identify potential project risks early and work with teams to mitigate issues before they escalate, ensuring smooth project execution.

Continuous Improvement:

  • Gather post-project feedback and key learnings to facilitate regular post-mortems and continuously improve processes and drive efficiencies for future projects.
