We are looking for an Intake Sales Specialist to manage our incoming calls on a daily basis and to perform a variety of administrative and clerical tasks. As an Intake Specialist, you will be the first point of contact for our company. Your duties include screening incoming calls, adding incoming leads information into lead tracking systems, following up on existing leads, informing prospective clients about our legal services, answering questions about legal fee agreement, and managing expectations. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful in this position, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.

Candidates should excellent interpersonal skills to actively seek out and engage client prospects. You will provide complete and appropriate solutions for every potential client in order to boost top-line revenue growth, customer acquisition levels and profitability.

Responsibilities
  • Answer, screen and forward incoming phone calls
  • Provide accurate information and customer service via phone/email
  • Update calendars and schedule meetings
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Present, promote and sell products/services to existing and prospective customers
  • Establish, develop and maintain positive business and customer relationships
  • Reach out to leads through cold calling
  • Achieve agreed upon sales targets and outcomes within schedule
  • Coordinate sales effort with team members and other departments

Requirements

  • Proven work experience as a Customer Service Representative, Sales Team, Receptionist, Intake Specialist, Front Office Representative or similar role
  • Professional attitude and appearance
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree; additional certification in Office Management is a plus
  • Proven work experience as a Sales Representative
  • Relationship management skills and openness to feedback
  • Prioritizing, time management and organizational skills
  • Excellent selling, negotiation and communication skills
