We are seeking a highly organized and detail-oriented Executive Assistant to the CEO to support company operations and ensure smooth communication with key clients. The ideal candidate will assist with managing client orders, invoicing, travel arrangements, and act as a liaison between the sales team and our team in China. The role also includes maintaining the company’s CRM system to ensure accurate client and sales information.

Responsibilities

  1. Monitor and communicate the progress of key client orders, ensuring smooth operations and timely responses to customer needs.
  2. Handle company bookkeeping tasks, including issuing invoices to all clients and ensuring accuracy in financial records.
  3. Manage company travel arrangements, including booking travel and auditing expense reports for compliance with company policies.
  4. Liaise with the China-based team to support the sales team, including but not limited to: assisting sales in obtaining packaging solutions, relaying packaging information, sending product samples to potential clients, and recording sample details.
  5. Maintain the company’s CRM system, ensuring up-to-date client and sales information.
  6. Assist the CEO with day-to-day tasks such as scheduling meetings, managing calendars, and organizing events as needed.

Skills

  1. Bachelor’s degree in Business, Administration, Finance, or a related field.
  2. 2+ years of experience in an administrative or assistant role, preferably with experience supporting a sales team.
  3. Strong proficiency in CRM systems and office software, with excellent data management and reporting skills.
  4. Basic understanding of financial processes, capable of handling bookkeeping and invoicing.
  5. Excellent written and verbal communication skills in both English and Chinese, with the ability to effectively communicate with internal teams and clients.
  6. Detail-oriented, highly organized, with strong multitasking and time management abilities.
  7. Self-motivated and proactive problem-solver, with the ability to work independently.
