Job Summary:

Under supervision, provides clerical support to the department by composing and editing departmental correspondence, communications and documents; collecting and maintaining written information/records/files; scheduling and arranging for departmental meetings; preparing regular and periodic reports; ordering supplies; providing departmental telephone coverage; providing reception for designated areas.

Essential Responsibilities:
  1. Upholds Kaiser Permanente's Policies and Procedures, Principles of Responsibilities and applicable state, federal and local laws.
  2. Performs a variety of clerical duties, including but not limited to staffing, schedules, MD payroll, employees' timecard recording, etc.
  3. Provides telephone reception.
  4. Takes and returns messages.
  5. Assists members in obtaining medical services.
  6. Completes forms associated with member services.
  7. Provides member/family/visitor instruction and information as directed. Uses computerized systems to enter and retrieve member data.
  8. Assists in tracking of member appointments.
  9. Books appointments.
  10. Assists in Quality Improvement projects as directed.
  11. Promotes quality of service by serving as a resource to members/visitors.
  12. Orders and maintains equipment and supplies.
  13. Demonstrates support of the philosophy and complies with the policies and procedures of the organization.
  14. Applies correct medical terminology, format, and abbreviations.
  15. Types medical and research papers for publication.
  16. Creates graphs and charts.
  17. Collects and compiles cumulative data and statistics.
  18. Completes worksheets by tallying activities.
  19. Constructs statistical tables.
  20. Establishes and maintains courteous, cooperative relations with the public, patients, and other personnel. Promotes, ensures, and improves customer service to internal/external customers by demonstrating skills which are consistent with the organization's philosophy of providing extraordinary customer relations and quality of service.
  21. Performs other related duties as required.
