Compliance Review Specialist (Healthcare Marketing) - 4 days per week

Location: Dallas, Fort Worth Metroplex (Hybrid)

Reports to: Operations Director

The Compliance Review Specialist plays a pivotal role in ensuring that our digital marketing campaigns for healthcare clients comply with regulatory requirements and conform to our client promotional material policies and procedures for MLR (Medical, Legal, and Regulatory) review. You will work closely with our internal teams to prepare and submit content for MLR review and to coordinate the overall MLR process

What you'll be doing

Manage Marketing Material Lifecyle through MLR Process:

  • Prepare materials for MLR review ensuring client standards have been held including a final QA for all submissions to ensure all requirements or requested changes have been included
  • Oversee healthcare marketing materials from initial concept through final approval within Veeva Vault in partnership with the project management team
  • Coordinate and track regulatory submissions, communicating any timelines visible within vault to the project management and service line teams
  • Track submissions through their lifecycle and alert internal teams when documents are approaching expiration and need to be either updated or flagged for extended approval for distribution timelines

Ensure Adherence to Agency Compliances Procedures:

  • Enforce agency accountability by ensuring team adheres to operating procedures
  • Update documentation for best practice compliance procedures as required
  • Maintaining appropriate systems and documentation files
  • Follow compliance monitoring and auditing processes
  • Coordinate & Maintain agency compliance training following client policies and procedures

Provide Compliance Guidance:

  • Act as a primary point of contact for compliance-related inquiries from compliance, medical and legal regulatory reviewers.
  • Address and resolve any compliance concerns promptly and effectively
  • Provide guidance and training to internal teams on client healthcare compliance requirements and best practices for onboarding and updates
  • Address compliance issues to mitigate risks associated with healthcare marketing campaigns

What you'll bring

  • Preference to have experience in healthcare/pharmaceutical digital marketing compliance requirements
  • Knowledge of Medical, Legal & Regulatory review processes and Veeva Vault experience
  • Proofreading/QA skills
  • Meticulous attention to detail
  • Excellent Organizational Skills
  • Experience in cross-functional leadership to ensure ensuring training + onboarding of new team members to complete compliance requirements
  • Performing audits to ensure ongoing adherence to compliance guidelines
  • Critical thinking to assess and interpret feedback and briefing in teams based on MLR feedback
  • Workflow management of the review and approval process
  • Managing and organizing changes in requirements + key learnings
  • Experience communicating effectively and confidently across all business levels in a professional manner
  • Able to manage deadlines and plan time effectively
  • Professional standard in the use of Microsoft Office suite, SharePointe & Adobe PDF
