Job Requirements / Description

As an integrated part of the department, this position assists the Department team in implementing and tracking specific short-term and long-term projects and provides administrative support.

Responsibilities include:

  • Planning, organizing, controlling, and reporting to ensure goals and objectives of projects are accomplished within prescribed cost, quality, and contract parameters.
  • Working on multiple projects of moderate size or portions of major projects. Assisting project managers in administration and coordination of projects to ensure goals and objectives are accomplished.
  • Providing technical and contract management support to project managers during the design, construction, fit-up, and closeout phases of projects.
  • Creating, evaluating, and adapting standard techniques, procedures, and criteria. Formulating and solving problems.
  • Overseeing architects' contract administration services to ensure required field checks are conducted in the construction phase to ensure compliance within project specifications, plans, established Keck Medicine of USC guidelines, standards, and policies.
  • Conducting job walks regularly with construction contractors to validate percent completion for calculating incurred costs for progress payments.
  • Analyzing monthly schedule submissions, as necessary, and reviewing and negotiating an agreed recovery plan.
  • Assisting project managers with coordination between the architect and general contractor participants with various types of contract delivery.
  • Reconciling design phase estimates.
  • Assisting project manager with managing, developing, and coordinating Keck Medicine of USC's design process.
  • Preparing requests for proposals, collecting and analyzing bids for design and construction services.
  • Coordinating with vendors and Contracts Department for bid awards and contracts.
  • Preparing and conducting research, analyzing, and interpreting data.
  • Helping develop and maintain the Estimate at Completion Cost (EAC) of projects through all phases of project delivery.
  • Reviewing change order requests and analyzing to determine merit.
  • Preparing check estimates of work amounts or obtaining check estimates and negotiating agreed changes.
  • Prioritizing workload to meet pre-determined deadlines.
  • Effectively communicating with the Department Team to relay information ensuring all deadlines are met.
  • Utilizing computer skills, including MS Office and data entry into computerized databases.
  • Responding to requests for data from multiple areas.
  • Attending staff/project meetings as assigned and preparing necessary data for review.
  • Ensuring data accuracy before any transmittals to leadership or external sources.
  • Providing training to other staff members as requested.
  • Providing regular updates to Department leadership throughout the duration of projects.
  • Demonstrating accuracy and thoroughness in entering information into computer systems.
  • Adhering to protecting patient confidentiality.
  • Performing other duties and projects as assigned.

Required Qualifications:

  • High school or equivalent.
  • Bachelor's degree in Engineering, Architecture, Construction Management, or related field.
  • Combined experience/education as a substitute for minimum education.
  • 1 - 3 years of project-related experience.
  • Proficient in supporting multiple project managers and working in a fast-paced environment.
  • Excellent skills in personal computer software programs including Procore, MS Word, PowerPoint, Excel, Bluebeam, and Visio.
  • Detail-oriented and well-organized with the ability to work independently with minimal direction.
  • Strong organization/time management skills and written and verbal communication skills.

Required Licenses/Certifications:

  • Fire Life Safety Training (LA City) - If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date (Required within LA City only).

The hourly rate range for this position is $29.00 - $45.20.
