Oxfam America is a remote or hybrid work environment with the option of working in person from our offices in Boston, MA or Washington DC. However, employees should reside in one of the following states: ME, NH, VT, MA, RI, CT, NY, NJ, PA, DE, WV, VA, MD, NC or DC.

The Operations Specialist, IFP, will support the Institutional Funding and Partnership team to work more efficiently and effectively toward reaching the team’s ambitious revenue goals. The position will advance the organization’s institutional fundraising program by supporting the department’s operations, coordinating effective internal policy review and strategy meetings, and overseeing the team’s information and data management systems/processes, including using that data to identify trends and track progress towards fundraising goals. The position will cross-collaborate with frontline fundraising and support services team members and will be a conduit for collaboration with other Oxfam departments and divisions.

PRIMARY RESPONSIBILITIES

Operations (50%)

  • Develop and maintain the foundational tools, systems, and processes needed to enable the Institutional Funding and Partnerships team to meet its fundraising mandate. Solve workflow issues encountered along the way.
  • Ensure use of, adherence to, and training in the team’s customer relations management (CRM) system (Salesforce).
  • Ensure compliance with relevant policies and processes, particularly opportunity assessment, financial administration, and grant management from donor perspective.
  • Co-design and facilitate intra- and inter-departmental meetings, including weekly team meetings, quarterly retreats, and more.
  • Support the director and managers in developing the department’s annual budgets, operating plans, and revenue forecasting.
  • Support departmental culture initiatives, including team effectiveness survey, to identify trends and opportunities for learning and growth.
  • Lead and/or participate in cross-departmental collaboration on special initiatives with the aim of developing, streamlining, and aligning systems and processes in order to achieve shared goals.
  • Perform any other related duties as required.

Data Analytics (30%)

  • Use existing data to analyze fundraising performance.
  • Manage a suite of CRM reports and a comprehensive dashboard that monitor progress to goals and assist frontline fundraisers with prospect management.
  • Extract and interpret prospect and donor information from CRM and prepare/present reports for internal audiences.
  • Support portfolio reviews with director and account managers to support the timely progression of opportunities through the pipeline.
  • Facilitate and coordinate effective and timely Go/No-Go opportunity assessment meetings and review processes, working with development officers, program teams, finance, and leadership to ensure compliance with internal policies and guidelines.

COORDINATES WITH

Institutional Funding and Partnerships, Resource Development Operations, Individual Giving and Engagement Team, Technology and Information Management Team, Global Programs, Finance, Oxfam affiliate and country teams.

MINIMUM QUALIFICATIONS

  • Certifications in related field(s), Associate’s Degree, some studies in pursuit of Bachelor’s Degree, or a combination of education and experience.
  • 3 to 5 years of related experience with demonstrated success in institutional fundraising, including the development of complex, multi-million-dollar funding opportunities.
  • 3+ years of project management experience.
  • Superior writing, oral communication, and interpersonal skills. Ability to cultivate positive relationships with staff, board members, and volunteers.
  • Excellent listening and motivational skills. Comfort working with a variety of personal styles. Ability to keep situations from escalating into larger issues and to mitigate/resolve conflicts that do arise.
  • Ability to work well under pressure and independently with limited supervision, and as part of a team.
  • Experience providing on-going support for multiple individuals, juggle priorities, and meet deadlines.
  • Demonstrated skills in strategic analysis and project planning.
  • Ability to use discretion, confidentiality, and judgement.
  • Strong time management, organizational, planning, and administrative skills, including comfort with various information systems, and fluency with word processing and spreadsheet applications on MS Office and databases (Salesforce, ROI, etc.).

PREFERRED QUALIFICATIONS

  • Experience in an issue-oriented non-profit organization or in an international development organization.

Salary Range - $68,000 to 73,000
