Position: Office Manager
Summary of Essential Duties
Provide general and specialized support services for management staff and the Agency. Manage the Agency's computerized systems and processes and the general functions of the administrative office. They carry out routine office activities, handle extraordinary correspondence, and manage all training/meeting arrangements. Assists Program Directors and Senior administrators with special projects as needed and maintains confidentiality regarding all documents and information.

Required Skills and Responsibilities:
  • Knowledge of standard office procedures, office equipment, policies, and supply purchasing
  • Oversees front desk reception coverage
  • Oversees incoming phone calls and opportunities for youth placement services
  • Ability to work with a minimum of supervision and able to effectively prioritize
  • He/She must have experience in a variety of word processing, accounting, publishing and database programs as well familiarity with all Agency programs and systems
  • Excellent command of written, oral and business English
  • Ability to relate well with the public and to promote our youth services
  • Oversees scheduling for youth clinical appointments
  • Attention to detail
  • Maintain IT support and phone/internet communication functions
  • Manage relationships with vendors, service providers, foster parents, Board and donors
  • Be a motivated task driven direct and decisive organization- wide resource for all staff
Qualifications:
  • Bachelor's degree and a minimum of three (3) years' of applicable experience in an office administrative function with a high degree of autonomy
  • Experience with Excel, Word and Power Point
  • The ability to problem-solve and to handle day-to-day administrative tasks without immediate supervision
  • Flexibility, a positive attitude and the ability to work independently as well as part of a team is a must
  • This position requires an individual who is able to maintain strict confidentiality and privacy in all financial, youth and employee matters
