Job Summary:
Reports to the CFO. Responsible for overseeing and managing the overall operations of the Cashiers Office, including maintaining accurate records, cash handling, reconciling financial transactions, and providing exceptional service to our students.
Essential duties, tasks and responsibilities:
  • Serve as the primary point of contact for students and families addressing student account billing and payment matters through emails, phone calls, and in-person requests.
  • Maintain accurate records while conducting the student refund process to guarantee university, state and federal regulatory compliance.
  • Create direct-billing invoices for corporate and partnership accounts while maintaining accurate records, coding, and payment follow-through
  • Manage payment plans by creating new plans each term, oversee enrollment, track delinquencies, and support families with inquiries.
  • Serve as primary point of contact for departmental inquiries as it pertains to their ACH deposits, other payments, student account charges, and collaboration efforts.
  • Work cohesively with other student services and academic offices to ensure continuity across offices and a superior level of customer service to our students.
  • Assist as needed with financial audits as it pertains to student account ledgers.
  • Continue efforts to streamline processes and improve efficiency.
  • Recruit, train and supervise cashiers office staff and student workers.
  • Prepare and send weekly balance notification & retention emails to students and authorized users.
  • Update and manage the Cashiers Office pages of Jacket Connect and submit BW web page updates.
  • Responsible for Cashiers Office physical records management and retention.
  • Maintain adequate office supplies for the entire Bursar Department by conducting regular inventory and order supplies using the proper procedure.
  • Process student payments and departmental deposits in Ellucian Colleague system.
  • Post ACH and credit card deposits from daily bank statements to the general ledger.
  • Post student charges from various campus departments to student accounts.
  • Reconcile bank statements with daily cash receipts reports.
  • Responsible for end of day balancing and posting of the days' business and providing balancing reports to the Finance Department
Knowledge, Skills and Abilities:
  • Minimum education high school diploma, some college preferred
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Knowledge of TouchNet and Ellucian Colleague systems a plus.
  • Knowledge of basic accounting processes and procedures.
  • 2 years of experience in office administration or finance/banking preferred.
  • Strong customer service skills and ability to communicate in a professional and service-oriented manner in-person, by email, and phone.
  • Adept at managing conflicting priorities and able to meet tight deadlines with minimal supervision.
  • Must be detail-oriented and accurate, and possess strong organizational skills.
  • Ability to use independent judgment when facing problematic situations.
Physical Demands:
  • Must have finger dexterity and hand-eye coordination to count cash and work on computer, telephone, and related office equipment.
  • Required to use close vision and be able to focus.
  • Regularly required to talk and hear: frequently required to sit, stand, and bend at the knee and waist, and walk.
  • Must be able to have repetitive wrist, hand and/or finger movement to type and work on computer and count cash.
  • Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects such as cash drawers and the vault doors.
