SUMMARY
Cartesian Therapeutics is reimagining cell therapies with transformative technologies to bring a new generation of treatment options to patients with autoimmune diseases. With recent company growth, we are seeking a highly organized and motivated Office Administration Manager to join our team and support our operations, executive team, and board members while contributing to a positive workplace environment.
Key Responsibilities:
- Front Desk Management: Serve as the first point of contact for visitors, clients, and employees, ensuring a welcoming atmosphere. Answer phone calls, manage inquiries, and direct them appropriately.
- Scheduling and Calendar Management: Coordinate and manage executive calendars for meetings and appointments. Ensure all scheduling is organized and efficient, keeping all parties informed.
- Travel and Expense Report Management: Coordinate and manage travel arrangements for executive leaders and board members and assist with processing associated expense reports.
- Site Management: Maintain cleanliness and organization of kitchenette and meeting areas. Monitor supplies, restock as necessary, and ensure a welcoming environment for staff and visitors.
- Corporate Event Planning: Assist in planning and booking corporate events, including logistics, catering, and venue arrangements. Ensure events run smoothly and meet company standards.
- Board Meeting Logistics: Organize and assist with board of director meetings, including scheduling, preparing materials, and coordinating logistics.
- Investor Call Coordination: Coordinate investor calls, ensuring all necessary parties are informed and prepared.
- Ad Hoc Tasks: Support various teams with administrative tasks as needed, demonstrating flexibility and a proactive approach to workload management.
Qualifications:
- A minimum of 5 years' experience providing administrative support, to include supporting multiple executives and/or board members.
- Strong organizational skills and the ability to prioritize tasks independently.
- A high degree of professionalism and the ability to interact with people from a variety of backgrounds.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- A self-starter mentality with a proactive approach to problem-solving.
- Attention to detail and a commitment to maintaining a professional environment.
Salary Notice:
At Cartesian Therapeutics, we are committed to transparency and equity in our compensation practices. The salary range for this position is $85,000 to $105,000 per year. Please note that the final salary will be determined based on several factors, including but not limited to years of experience, industry experience, education, and specific skills relevant to the role. We believe in rewarding our team members fairly and encourage open discussions about compensation throughout the hiring process.
