OVERVIEW

The University of St. Thomas invites qualified candidates to apply for a Prospect Development and Campaign Associate (Program Manager I) position within University Advancement.

The University Advancement Team offices out of the Minneapolis Campus.  The person in this role will have the flexibility to work in a hybrid capacity, at least three days in-office on campus and two days remotely.  Work schedules will always be dictated by business needs.

JOB SUMMARY

Reporting to the Senior Director, Prospect Development and Campaign Strategy (Program Manager) and serving as a member of the Prospect Development (PD) team within the office of University Advancement (UA), the Prospect Development and Campaign Associate serves as an operations advisor and project manager experienced in working with multiple stakeholders to deliver professional work products and communications for a presidential and leadership-level audience and managing seamless project execution workflows in support of these products. This position will partner with the Senior Director by assisting with the coordination and execution of projects directly related to campaign operations, principal and leadership giving, the university president and board of trustees.

ESSENTIAL FUNCTIONS

  • Principal and Leadership Gifts (PLG) Program Operations: Serve as administrative liaison for weekly meetings; Compile and disseminate well-written and researched PLG meeting materials, including editing, proofing, and packaging; Create and implement consistent standards of practice and procedure for deliverables; Document strategy meeting outcomes and next steps; Systematize and operationalize PLG program by assisting to develop, manage and distribute PLG guidelines, tools, dashboards, reporting and other resources.
  • Campaign Operations: Lead the coordination and compilation of materials for the annual UA campaign plan; Develop and maintain project work flows and information tracking systems related to campaign volunteer activities, including peer reviews and networking opportunities; Coordinate and compile campaign volunteer materials for meetings and events; Compile and disseminate materials for campaign related events, including Presidential and unit-based leadership briefings, small group events and university-wide donor events.
  • Presidential and Board of Trustees Support: Compile critical deliverables related to the University of St. Thomas Board of Trustees; Assist the Senior Director in ensuring the President, as well as University and UA leadership are prepared for donor and prospective donor meetings by coordinating key deliverables from prospect research.
  • Prospect Research: Research high and ultra-high net worth donors and prospects for philanthropic capacity using internal CRM, subscription databases and other online sources; Produce polished, accurate, detailed background reports, profiles and briefings for senior leadership and development team.
  • Database Management: Enter, maintain, and manage prospect, campaign and volunteer data in CRM; ensure strategies, next steps and files are up to date and documented across multiple platforms.
  • QUALIFICATIONS

    Minimum Qualifications

    • Bachelor’s degree
    • Three years of relevant work experience in program management

    An equivalent combination of education and experience from which comparable knowledge and skills have been acquired may be substituted.

    Preferred Qualifications

    • General understanding of development industry standards, as well as University structure, policies and procedures

    Special Skills/Knowledge/Abilities

    • Demonstrated experience in management of projects, including project planning, scheduling and tracking; ability to prioritize and work independently, responsibly, and meet deadlines
    • Excellent oral and face-to-face communication skills, including the ability to function well in a multiple-team environment, and ability to interact effectively with all levels of staff, including executive-level colleagues 
    • Business writing proficiency to consistently produce concise, professional written communications, including scrupulous accuracy and attention to detail and ability to synthesize complex data into executive summaries
    • Proficiency of the MS Office suite of applications and Adobe PDF editor, and demonstrated ability to use online resources and databases creatively and effectively
    • Experience with CRM’s, specifically Banner and Salesforce a plus
