Take the first step towards the rest of your life in a supportive environment that promotes hard work and dedication!Essential Functions:Establishing and maintaining client master file data, accounting calendars, payment association rulesClient and project creation within accounting systemContract management – monitor/analyze information pertaining to contracts, addendums, and purchase orders.Responsible for completing project status (lock, reconcile, close projects timely).Reviewing data from request forms submitted for accuracy and completenessTracking and ensuring accuracy of Contract terms and Retainer per agreementMaintain timely, accurate client billing, including supporting documentation and deliver based guideline providedPrompt and organized maintenance of data and invoicingGenerate Billing Reports and analyze data to provide markupsStrong understanding and knowledge of billing concepts and practicesComplete client related reporting, as neededUnderstand all aspects of any assigned clients. This includes billing rules, reports, status of AR, client dictionaries, etc.Analyzing receivables for assigned clients through monthly and ad hoc monitoring of reports and statistics, identifying, and researching variances, and providing results of the research to Client ManagersAssisting and resolving remittance discrepanciesDeveloping processes and procedures to maintain and monitor Retainer requirements/receiptServing as the primary point of contact for client inquiries regarding cash and claims postingMaintaining tracking log for client requests/outstanding deliverablesPerforming check deposit and cash application processWork closely with Branch/Project Managers in a team-based environmentParticipate in client meetings in a support roleAbility to communicate with clients and internal managementWork with Client Managers on improving and maintaining effective communications within the organization and with assigned clients and projectsGenerate weekly/month-end reports to provide client/project/billing analysisPrioritize tasks to ensure accuracy and efficiencySuggest process improvements and partake in brainstorming/researching new processProactively communicate issues to managementKnowledge, Skills, and Abilities:At least 5 years of Billing experience within the Surveying, Engineering, Construction or Legal fieldsDeltek Vision experience is ideal but can be trained, knowledge of similar ERP system is helpfulProven experience as a Billing Specialist in a high volume, fast-paced and high-pressure environmentAbility to multitask with competing prioritiesComfortable dealing with numbers and the processing of financial informationStrong research and problem-solving skillsExcellent knowledge of MS Excel (Pivot Tables and VLOOKUP ideal)Adobe and the ability to manipulate documentsProven longevityResults-driven with a backbone, assertive, self-starter, motivated and patientHigh degree of attention to detail and trustworthinessWe offer a comprehensive benefits package including medical, dental, vision, company paid life insurance, 401K with company match and generous paid time off.
