Position: Operations Manager

Department: American Skin Association

Reports To: Executive Vice President

Employment Status: Full-Time

Office Location: Midtown, New York City (On-Site)

Job Summary

American Skin Association, a 501(c) 3 non-profit organization, with the mission of advancing research in skin biology and championing skin health, particularly among children, is seeking an experienced and independent individual with exceptional interpersonal and communication skills.

Responsibilities:

  • Handle printing, mailing, shipping, and FedEx coordination
  • Collaborate with IT to address tech issues for the team, providing internal tech support
  • Oversee the day-to-day administration of ASA’s office
  • Take ownership of and execute projects
  • Provide support to the Executive Vice President
  • Support events and fundraising, including the Annual Gala and Annual Appeal
  • Prepare materials and take minutes for Board and Committee meetings
  • Draft correspondence such as emails and letters
  • Oversee the ASA grant administration process
  • Prepare invoices, reports, memos, letters, financial statements, and other documents
  • Process invoices, prepare checks, and track finances
  • File and retrieve corporate documents, records, and reports
  • Adhere to all company policies and procedures
  • Maintain a positive attitude and disposition
  • Effectively communicate with and manage vendors

Qualifications

  • Bachelor’s Degree required with 2-3 years of experience
  • Prior Executive Administrative experience required
  • Prior event planning or non-profit organization experience preferred, but not required
  • Grant administration experience preferred, but not required
  • Exceptional organizational skills and attention to detail
  • Ability to multitask and adapt to a high-energy and fast-paced environment
  • Ability to work independently, as well as on a team
  • Proficient in basic office math
  • Skilled in internet researching capabilities
  • Ability to prioritize and manage multiple projects/tasks efficiently
  • High proficiency in Microsoft Word, Excel, and PowerPoint
  • Excellent verbal and written communication skills
  • Must be able to work full-time, in-person at ASA’s New York office, located in Midtown NYC
