The 911 Communications division has added a new Records Analyst position! The selected applicant will act as liaison regarding processing retention and destruction activities of City records and information. Performs quality control of City records, archives, systems, and databases. Responsible for conducting audits of electronic records systems to ensure compliance with all City, State, and Federal rules and regulations. Works with considerable independence within the scope of established policies and procedures of the work.
SUPERVISION
Supervision is provided by the Department Head.
Essential Job Functions
Collaborate with IT teams and external vendors to integrate CAD systems with other public safety software applications, such as Records Management Systems (RMS) and Geographic Information Systems (GIS).
Tracks and prioritizes work orders; corresponds with users on questions and requests; incorporates user feedback into problem-solving, work order documentation, and work order resolution.
Ensure seamless interoperability between CAD systems and external data sources, communication systems, and emergency response agencies.
Maintain comprehensive documentation of CAD system configurations, procedures, and troubleshooting guidelines.
Work with hardware and software vendors on installation, project coordination, maintenance, and emergency response.
Assist with security configuration maintenance.
Provides direction to non-City personnel contractors, etc.
Performs duties as assigned when needed in an emergency or disaster.
Minimum Job Requirements
High School Diploma or equivalent. Three to five years of records system maintenance experience within a similar government or legal organization or an equivalent combination of education, training, and experience. Advanced training in administrative software programs. Completion of National Incident Management System (NIMS) training courses as outlined by Emergency Management after hire.

Essential Job Functions
- Receives requests and prepares information for Open Records (provides forms, reviews forms for validity/approval, researches the cost involved and notification to requestor).
- Identifies records to be maintained, how and where records shall be retained and the retention period for records.
- Evaluates retention policies and requirements; deletes and/or destroys City records and files in accordance with City policy and all applicable laws, statutes and regulations.
- Maintains and verifies accuracy of various departmental records. Performs a wide variety of special projects and duties as they relate to records management and archiving activities.
- Travels to attend meetings, conferences, and training as necessary to maintain a current and relevant understanding of job responsibilities.
- Performs as a responsible steward of the public trust and strives for excellence in public service, enhancing the quality of life for all.
- Acts in a civil, respectful manner at all times to management, co-workers and others.

- Management, configuration, and optimization of our Computer Aided Dispatch (CAD) and Record Management Systems (RMS) ensuring the seamless operation of our dispatch systems, contributing to the efficiency and effectiveness of our emergency services.
- Perform regular maintenance tasks to ensure the smooth operation of CAD systems, including software updates, patch management, and system backups.
- Monitor system performance, troubleshoot issues, and implement corrective actions to minimize downtime and optimize performance.
- Maintain GEO Data
- Customize CAD system settings and workflows to align with the operational needs of our organization and policies.
- Configure user interfaces, forms, and templates to streamline dispatch processes and enhance user productivity.
- Work with Wylie IT staff to resolve any technical issues or requirements.
- Provide technical support to CAD system users, including dispatch, fire, police, and other personnel.
- Conduct training sessions and create user documentation to ensure that users are proficient in utilizing CAD system features and functionalities.
- Ensure compliance with industry standards, regulations, and best practices related to data security and privacy, such as HIPAA and CJIS.
- Generate regular reports on CAD system performance, usage statistics, and maintenance activities for management review and decision-making.
