Job Overview
The Specialist Student Affairs Intake requires an individual who is able to pay very close attention to detail and get required information from clients, stakeholders and parents to assist in the resolution of any concerns or complaints surrounding student issues in Fort Bend ISD. This position involves performing a variety of advanced level clerical support tasks and using customer service skills in the Department of Student Affairs. The incumbent should possess problem solving abilities, critical thinking, communication, and organizational skills; along with attention to detail, compassion, and patience.
Position Description
Essential Duties and Responsibilities
Assistance
  • Assist students, parents, and other stakeholders with concerns and questions received in the Department of Student Affairs
  • Use decision-making skills to resolve student/parent concerns that come to the Department of Student Affairs, or to refer the concern to the Executive Director of Student Affairs
  • Review and apply District policy and procedures to assist with parent and student concerns
  • Serve as additional department receptionist with a strong focus on using customer service skills
  • Assist with tracking all parent complaints and concerns filtered through the Department of Student Affairs
  • Assist parents with all aspects of the District's student transfers
  • Perform projects and duties specific to the Department of Student Affairs
  • Provide data reports needed by the Department of Student Affairs
  • Serve as a customer service agent between parents and the District
  • Prepare/process correspondence, forms, or other information related to the Department of Student Affairs
  • Photocopy forms and materials as needed
  • File correspondence, records and other documents alphabetically or by other assigned categories
  • Assist and/or serve as back-up to other clerical/secretarial positions in the Department of Student Affairs
  • Perform other duties as assigned
  • Processes paperwork/transfers/FNG's and parent complaints efficiently and in accordance with protocols and policy
Communication
  • Answers and screens inquiry calls and emails from parents and stakeholders
  • Collects data to help with the admission/transfer and registrations process
  • Communicates with other team members constructively in order to reduce conflict and enhance the resolution of issues
  • Respects client or patient dignity and confidentiality
  • Adheres to the facility dress code and appears professional at all times

  • High School Diploma or GED
  • Excellent Skills in oral and written communication with emphasis on customer service
  • Ability to maintain a high level of confidentiality
  • Displays the ability to communicate with others effectively, listen closely and convey points clearly
  • Shows proficiency with computer programs which may include Microsoft Word, Excel, PowerPoint, Outlook and others
  • Demonstrates excellent customer service skills and the ability to calm patients or clients who may be distraught
  • Shows the ability to calm frustrated clients, parents and stake holders quickly and make decisions based upon anticipated outcomes
  • Possesses the ability to adjust to constantly changing workloads
  • Demonstrates excellent knowledge to use standard office equipment such as telephones, computers, copiers, fax machines and skills in the use of personal computers; experience with school district software and systems preferred
  • Customer service experience in school district work preferred

Work involves everyday risks and discomforts which require normal safety precautions when operating equipment or performing job duties. May work prolonged or irregular hours and must be able to maintain emotional control under stress.
