Who you are:
The Associate Director oversees, in collaboration with and under the supervision of the Centre Director, the planning and delivery of all CIEE programs. This comprises coordinating tasks among various team members; overseeing the implementation of guidelines and policies; monitoring logistics and operations; and supporting staff in charge of finance and admin team.
This position oversees the financial, accounting, and banking needs of the CIEE London programs, as defined below and in accordance with CIEE administrative policies. S/he works with the Portland Financial Department to ensure the correct financial and accounting system controls and standards, and to ensure timely financial and accounting reports for management. This position also supports the Center Director in managing CIEE’s UK-wide identity including the UKVI sponsor license, the UKQAA, and Companies House. S/he will also manage HR, payroll, contracts, and legal processes, and s/he is equally responsible for the overhead budget and expenses at the Study Center.
What you'll do:
- Deputize for the Center Director or act as interim during their absence. This will include staff and building management, health and safety, and oversight of all CIEE London programs.
- Finance:
- Ensure availability of funds and requests funds from Portland as needed.
- Ensure proper and timely payment of bills to providers.
- Grant emergency loans to students with Program Managers approval.
- Serve as the primary liaison with bank.
- Control bank charges.
- Manage petty cash funds.
- Coordinate budget and forecast process by distributing and consolidating budget sheets to/from different budget owners.
- Participate in forecasting process by identifying mismatches between actual spending and budgeted spending, and by following up on those with CD and with budget owners.
- Accounting:
- Guarantee that all payment transactions (bank or petty cash) are entered in NetSuite, including all salary payments for every month-end close.
- Manage the accounts within the organization’s established policies.
- Verify expense coding and check issuance are accomplished accurately and timely.
- Record proper documentation of spending.
- Ensure correct booking of expenses.
- Prepare timely and correct expense reports and bank balances to Portland as required.
- Make monthly reconciliation of finances.
- Monthly ensure proper documentation for the UK Accounting.
- CIEE UK Legal Entity:
- Management of the UK Visa & Immigration Sponsor License.
- Coordinate in liaison with ADs, CIEE’s participation in the UK Higher Education Quality Assessment Exercise.
- Manage annual accounting and reporting returns to Companies House.
- Contracts, payroll, and HR:
- Compile requests for temporary staff (including professors) contracts.
- Request contracts for temporary staff (including professors) to external consultants.
- Distribute contracts for temporary staff (including professors) for signature.
- File temporary staff (including professors) contracts.
- Provide monthly payroll information to Human Resources.
- Manage the Work Time Tracking of the staff according to UK law.
- Ensure monthly payment of staff and faculty payrolls.
- Provide and manage the medical examination for the non-temporary staff according to UK law.
- Budget owner: overhead expenses
- Monitor budgeted spending for the Study Center’s overhead expenses.
- Other:
- Support other Directors in the Financial area of their departments.
- Represent CIEE London Center with integrity, accuracy, and in the spirit of its mission.
- Ensure the application of the GDPR (Data Protection) in the CIEE London Center.
- Other duties as assigned.

- Language—Must be fluent in English.
- Technology—Must have strong computer skills (Word, Excel) and expertise in accounting and the use of NetSuite.
- Foreign study—Personal study or work experience in the United States is strongly preferred.
- Education—Must have a BA in a related field of business or equivalent.
