Summary

The Human Resources (HR) Associate provides administrative support to the Human Resources Department on personnel matters to applicants, employees, and management. The HR Associate performs a variety of duties for HR Systems and Records Compliance. The incumbent must be able to apply appropriate regulations and laws, and to perform related tasks as required. The successful incumbent is detail-oriented, has excellent time management skills, and is a team player.

The pay range for this position is $24.99-$26.98/hour.

Essential Duties and Responsibilities

General

  • Performs and delivers excellent customer service functions by communicating effectively both in writing and verbally when responding to requests and questions.
  • Maintains security and confidentiality of applicant and employee information, proprietary company information, and shareholder information.
  • Provides support in one or more specialization - staffing and recruitment, employee relations, training and development, HRIS, records compliance, compensation, or benefits.
  • Updates databases and/or spreadsheets with employee personnel information and processes paperwork, as applicable.
  • Maintains personnel records in compliance with legal requirements and Ahtna policies and procedures.
  • Assists HR staff with various research and/or special projects.
  • Observes safety procedures and reports on potentially unsafe conditions.
  • Works cooperatively with coworkers and customers.
  • Makes photocopies, faxes documents, and performs other clerical functions.
  • Assists with and/or prepares correspondence.
  • Cross trains with and provides back-up coverage as needed for other HR Associate(s) and team members.
  • Assists in preparing and updating standard operating procedures.
  • Conducts other duties as requested.

Human Resources System

  • Performs data entry for HR in Deltek Costpoint and Ahtna Employee Center (UKG).
  • Processes personnel changes (new hires, terminations, status changes).
  • Assists and supports staff with Ahtna Employee Center (UKG).
  • Uploads employee data, records or forms to Document Manager (electronic personnel file).
  • Disseminates personnel data and documentation to stakeholder departments, as applicable.
  • Receives and completes employee information requests, including but not limited to verification of employment (VOE) requests, child support orders, and unemployment insurance (UI) claims.
  • Receives and distributes HR department mail and faxes.
  • Recommends opportunities to improve systems and/or processes.

Records Compliance

  • Ensures document management and safekeeping of organizational personnel records.
  • Maintains personnel records in Document Manager and personnel records in onsite file room.
  • Reviews and verifies personnel records for accuracy, completeness, and audit readiness; completes and retains audit checklists for compliance-related documents, including Form I-9.
  • Coordinates the acquisition, retrieval, and destruction of personnel records, in accordance with law and Ahtna policies and procedures; follows and maintains personnel records retention plan.
  • Responds to file, document, and personnel information requests on a need-to-know basis, per Ahtna's policy; redacts requested documents prior to sharing, as applicable.
  • Recommends opportunities to improve records filing system and/or processes.

Minimum Qualifications

  • High School Diploma or equivalent.
  • Intermediate level of expertise with Microsoft Outlook, Word, Excel, PowerPoint.
  • A minimum of three (3) years' experience:
    • Three (3) years of progressively responsible Administrative, Human Resources, Benefits, Accounting, Payroll, or similar experience.
  • or
    • A combination of related work experience and education related to applicable HR specialization(s).

Preferred Qualifications

  • Associate degree in Human Resources, Business, or similar field.
  • Experience in specialty (HR Operations, HRIS, Records Compliance, Benefits, or Compensation).
  • Experience in database administration, such as HR, billing, accounting, or similar information management system.
  • Experience using reporting authoring tool, such as Cognos.
  • Experience and knowledge of Alaska Native cultures.
  • Experience or certification in Microsoft application(s), such as Excel or Word.
  • Certification in HR specialty, such as PHR, SHRM-CP, or CEBS.

Pre-employment Drug Testing

Pre-employment drug testing utilizing urinalysis collection is required. A positive drug test makes you ineligible for employment with Ahtna, Inc. and its subsidiaries.

Physical Demands

Frequent sitting for prolonged periods of time, using hands/fingers requiring dexterity and coordination to handle files and single pieces of paper, reaching with hands and arms for items above and below desk level, talking, hearing, and seeing (up close, at a distance, along the periphery, with depth perception, and the ability to adjust focus); walking from place to place within the office with occasional use of stairs and no elevator available; bending, pushing, pulling, and standing for up to 2 hours; occasional lifting of up to 25 pounds such as small office equipment, files, stacks of paper, reference and other materials. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Work Environment

Work is performed in an office setting with ability to speak and receive phone communications often. Work requires computer usage with strength, dexterity, coordination and visual acuity to use keyboard and video display terminal and other office equipment. Moderate travel required to shareholder communities, subsidiary offices and other locations as needed.

Work Schedule: Monday - Friday, 8:00 AM to 5:00 PM
