Job Summary:

Provide general overall support for IFM services including continuous monitoring of the facility. Work with facility/engineering managers and team to handle routine facility management operations, including: customer/client services, financial management, procurement and supplier coordination, monitoring or issuing purchase orders, and helping to manage bid requests and service/construction contracts. This role is the liaison between JLL services and sectors to the IFM team.

Job Responsibilities:

  • Perform all work with a strong customer service or servant heart mentality and presence
  • Assist Facility Management Team with tactical planning for the team’s goals and objectives
  • Be the primary respondent for all service tickets placed by the client and our own team. Ensure that the tickets are acknowledged and completed within our management agreement’s SLAs
  • Manage the work order process from creating, reporting, to closure. Perform site inspections.
  • Schedule and manage repairs and maintenance, minor works and other work requests, tracking to completion.
  • Ensure all supply orders are placed in a timely manner
  • Manage and maintain small facility management tasks as assigned
  • Provide general overall facility management services including continuous monitoring of office/facility
  • Act as an interface with client, visitors and guests
  • Ensure appropriate follow up with customers
  • Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption
  • Assist with budgetary requests, analysis and reporting
  • Assist with researching, analyzing and reporting budget variances
  • Coordinate special events in support of client or JLL
  • Provide support for meetings and conference room reservations as needed and directed
  • May be required to work or be available for support on weekends, after hours and holidays as needed to support the hospital during emergency events.
  • Any and all other duties and tasks assigned

Safety:

  • Comply with all safety procedures, maintaining good housekeeping and safety of work areas. Recognize danger and safety hazards and propose methods to eliminate them.
  • Maintain compliance to State, County, or City Ordinances, Codes, or Laws.
  • Must complete all required safety trainings as scheduled
  • Comply with all policies for the safe storage, usage and disposal of hazardous materials

Qualifications:

  • High School Diploma or GED required
  • Prior experience in facilities, property management, hospitality or related fields preferred.
  • Superior customer service skills and orientation
  • Ability to maintain professionalism at all times under stressful situations
  • Ability to plan and manage work under time constraints
  • Ability to multitask and work without direct supervision
  • Proficient in MS Office, and possess strong written, verbal and people skills
  • Strong organizational skills and collaborative style
  • Proficient in Excel spreadsheets and have the capability of customizing administrative reports
  • Detail oriented and self-motivated; confident, energetic and flexible.
