Description of Duties:
Title: Sample Coordinator
Classification: Non-Exempt
Hourly Range*: $22.00 - $24.00/hour
Location: Van Nuys, CA (HQ)
Schedule: Onsite, Hybrid in office a minimum of 4 days/week
DÔEN is looking for a dynamic and experienced Sample Coordinator to join our growing team in Los Angeles. This position reports to the VP of Product Development and offers an exciting opportunity to spearhead sample coordination while actively contributing to our innovative and inclusive workplace culture. The role will involve seamless coordination between various departments including PR, Marketing, Content, Product Development and Tech Design. Essential Duties and Responsibilities:
- Maintain knowledge of location and status of samples at any given time throughout all stages of the development & production process.
- Communicate cross-departmentally, meet deadlines, and identify discrepancies during the check-in process of samples in coordination with PR, Marketing, Content, PD and Tech Design teams.
- Place orders directly with vendors and oversee the status of approved photoshoot samples to ensure they are accurately received by calendar deadline.
- Manage the reference sample tracker to verify location of samples at any given time and ensure efficient sample availability if needed by multiple parties for the same delivery.
- Own management of archive closet with support of all cross functional teams.
- Support management of receipt, checkout, and disposal of samples against guidelines to ensure timely and efficient sample availability with support of tech design and design teams.
- Oversee the physical organization of the samples with support from all cross functional teams.
- Maintain a clean and organized showroom and sample closet used by the studio team with support from tech design and merchandising teams.
- Recommend process improvements by identifying problems and potential system enhancements to leadership to increase sample processing effectiveness.
- Other tasks and responsibilities reasonably requested or assigned by the Company.
Qualifications:
- 1-2 years of experience in sample coordination and/or Product Development.
- Computer proficiency in all Google Suite applications and MS Office: Excel, Word.
- Strong planning and organizational skills with a sense of priority for deadlines and attention to detail.
- Excellent verbal and written communication skills, multi-tasking and problem solving skills.
- Flexible and adaptable in a rapidly growing company.
- Ability to multitask in a fast paced environment.
- Ability to communicate effectively with team members of different backgrounds and skill sets, cultural experience.
- A high level of ownership, accountability and initiative.
- Ability to work autonomously, takes initiatives and exercises discretion and good judgment.
- Ability to prioritize competing projects and meet deadlines.

Physical Requirements
- Must be able to perform essential duties satisfactorily with reasonable accommodation.

- Able to operate equipment such as computers, copy machines, phones.
