Job Description

Optimize Practice Services is a complete business and clinical platform that helps practices reach their full potential by combining consultant expertise, education, and real-time analytics. Our Director of Operations will manage daily business operations and oversee organizational processes to ensure accuracy, consistency, and compliance. This role must implement policies and strategies to improve productivity and efficiency levels and build an enjoyable company culture. Effective management of all aspects of in-office Human Resources and monitoring and managing operational related metrics and key performance indicators is required.

REPORTS TO CEO

Essential Functions

  1. Ensure written operational policies and procedures are efficiently and effectively implemented, regularly updated, reviewed, and communicated to the entire team to explain changes, answer questions and maintain morale.
  2. Oversee patient support services and ensure that processes and personnel are in place to consistently maintain an outstanding patient experience with a patient, team, and efficiency-oriented mindset among staff.
  3. Supervise team members to ensure timely completion of work and adherence to policies and procedures, identifying all necessary resources required and identifying potential barriers.
  4. Responsible for the efficient and economic management of all site operations.
  5. Responsible for overall operational performance and quality outcomes including patient satisfaction. Track and evaluate Daily, Weekly, and Monthly production KPIs.
  6. Oversee HR and develop procedures for attracting, onboarding, and retaining staff.
  7. Ensure operational compliance in all areas including HIPAA and OSHA.
  8. Monitor Company revenue margins and conduct budget reviews to maximize profitability and adherence to financial budgets and cost controls, ensuring cost effectiveness and spending throughout the organization.
  9. Meet regularly with staff to ensure adequate resources and support is being provided.
  10. Ensure sufficient communication of information between all levels of the organization and the implementation of strategies.
  11. Maintain a visible, engaged leadership style that empowers team members for continuous improvement with weekly supervision through weekly calls and on-site observation to encourage maximum performance, dedication, and satisfaction.
  12. Regularly evaluate organizational efficiency and make necessary changes to maximize staff productivity.
  13. Promote a company culture that focuses on patient service and satisfaction.
  14. Conduct regularly scheduled meetings, supervisions, and training to motivate staff for success, promote team building, create skill development, and establish and maintain effective working relationships.
  15. Ensure the compliant issuance of all contracts and business-related agreements.
  16. Act as a liaison between physicians and other office staff to help troubleshoot and resolve problems.
  17. Develop and execute growth initiatives.
  18. Advise CEO on issues related to the operational and staffing affairs of the organization, but not limited to, staff development and performance, patient satisfaction, operational logistics, policy, and procedure development, etc.
  19. Perform other such duties as required and/or assigned by CEO.

Qualifications

  1. 8+ years’ experience in business administration with a minimum of three (3) years in a supervisor capacity.
  2. Bachelor’s degree.
  3. Excellent leadership and organizational skills.
  4. Excellent written and oral communication skills.
  5. Proven record of YOY growth, ability to forecast and analyze business trends.
  6. Proven knowledge of performance metrics in a business setting.
  7. First class people skills.
  8. Innovative mindset that resolves problems relating to recruiting, onboarding procedures, and employee retention.
  9. Strong analytical and listening skills, with a positive approach.
  10. Ability to multi-task, prioritize, and manage time effectively.
  11. Well-developed research, organization, development, and planning skills.
  12. Ability to effectively resolve complex and difficult situations before they escalate.
  13. Ability to develop collaborative working relationships with all staff.
  14. Knowledge of computer programs to include financial software, spreadsheet, email, and other document programs.
