The Service Coordinator is responsible for receiving, processing, dispatching, and closing out service calls from customers and internal sales representatives. This role will be responsible for developing and maintaining professional contacts, possessing effective interpersonal skills, and effectively communicating with management and a designated team of technicians. This role will be responsible for the service calls of a team varying between 15-25 Technicians, including Team Lead, depending on the mix of house accounts.

Responsibilities

  • Respond to emails in a timely manner, including closing out the team's outstanding electronic work orders and creating work orders for technicians
  • Maintain each technician's work in progress, tracking progress to ensure all work orders are closed in a timely manner and notifying the field service manager when necessary
  • Close and post work orders daily, reviewing them to ensure correct labor and parts issues based on repairs
  • Handling service calls, including but not limited to placing holds on credit cards, collecting purchase order numbers, verifying and updating information, collecting unit information, scheduling service based on priority and availability, and relaying information to technicians
  • Create repair quotes based on labor and parts needed, and submit to customers
  • Create planned maintenance agreements and assign to technicians
  • Process and prepare invoices using data from technician work orders
  • Separate paper invoices for mailing to customers
  • Email invoices to designated customers
  • Process charge card sales orders through Pay Trace
  • Data entry of technician time cards into our internal accounting system
  • Data entry of technician work orders into Crown Centralize System, monitoring the pending status until approved or rejected
  • Process customer billing on external websites       

Requirements

  • Proven experience as a dispatcher
  • Outstanding communication skills, time management and organizational skills with the ability to multi-task is a must
  • Excel in a fast-paced environment, handling multiple phone lines
  • Phenomenal customer service skills
  • Self-Motivated with the ability to follow through on tasks
  • Proficient in Microsoft Outlook and Excel
  • Geographic understanding of Maryland, Virginia, West Virginia and the DC is a must
  • Mechanical knowledge and Equipsoft system skills are a plus; Equipsoft is Alliance’s billing/services application
  • Service Background
  • Employee must be able to sit stationary for several hours at a time
