Description
Think:Kids is a program in the Department of Psychiatry at Massachusetts General Hospital. Think:Kids teaches Collaborative Problem Solving (CPS), a revolutionary, evidence-based approach for helping children who struggle with social, emotional and behavioral challenges. At Think:Kids, a team of clinicians, educators, and clinical researchers teach the CPS approach to clinicians, parents, and educators across the world to implement CPS in homes, outpatient clinics, correctional facilities, schools, inpatient settings, residential programs, and beyond.
Think:Kids seeks a high-performing Project Manager to manage and oversee the CPS implementation process with organizations around the world.
The Project Manager works collaboratively with the Think:Kids team and the staff at partner organizations to design and execute a comprehensive implementation plan for CPS. CPS implementation includes readiness assessments, live or online training, group coaching via video-conference, and ongoing evaluation. As the key point person for implementation, the Project Manager plays a critical role in the relationship between Think:Kids and partner organizations. The Project Manager is responsible for developing implementation proposals, scheduling all implementation activities, keeping implementation plans on schedule, troubleshooting implementation issues as they arise, and coordinating data collection with the Think:Kids Research & Evaluation team.
Think:Kids believes in practicing what we preach. We infuse CPS in all aspects of program operations. As a representative of Think:Kids, the Project Manager will be expected to learn and incorporate the CPS philosophy and approach into their interactions with clients and internal Think:Kids staff.
PRINCIPLE DUTIES & RESPONSIBILITIES
Project Management
- Provide project management and implementation support to organizations who have committed to multi-year CPS implementation (partner organizations).
- Work with client organizations to craft and continuously update a training and coaching plan that will be effective and feasible given its unique needs.
- Develop detailed project workplans, goals, objectives, approach, timeline, and priorities necessary to achieve project goals.
- Identify and effectively communicate project risks and develop and implement mitigation tactics.
- Escalate issues and roadblocks to major deliverables as needed to Program Director.
- Schedule and assist with facilitating project meetings, develop a regular meeting cadence for the project team, and create and manage meeting agendas and follow-up tasks.
- Participate in internal team meetings to ensure resources and goals are aligned across projects and the program.
- Monitor key project timelines and key performance indicators to ensure timely completion of work.
Administration & Reporting
- Set up and track all projects in project management software (currently Asana).
- Work with administrative coordinator to facilitate contracting and invoicing processes.
- Develop customized client proposals using existing templates.
- Prepare and distribute reports and other deliverables to key stakeholders.
- Schedule and coordinate all training and coaching, working closely with the Director of Training to distribute work in the most efficient and equitable manner.
- Coordinate assessments for each client which include online surveys and focus groups.
- Regularly gather feedback and data from CPS Trainers & Coaches, partner organization leadership, and implementation committee to inform the ongoing implementation process.
- Collaborate with the Research & Evaluation team to design, implement, and manage performance tracking systems.
Communication & Relationships
- Build collaborative relationships with leaders and staff at client organizations.
- Develop and implement communication plans to keep stakeholders apprised of progress and challenges.
- Develop and maintain productive relationships with colleagues and clients.
- In collaboration with the Manager of Program Evaluation monitor, measure, and facilitate the reporting of project progress to management and key stakeholders.
- Maintain a high level of professionalism and handle all situations with diplomacy.
- Provide quality customer service, providing ongoing communication, feedback, and follow-through with customers and management.
- Develop implementation plans and recommendations to aid in decision-making by senior management.
- Communicate proactively and effectively with various stakeholders, getting the right individuals' input and buy-in at appropriate points in time.
- Learn, understand, and adapt to the unique systems, constraints, and cultures of client organizations.
- Organize and lead implementation check-in meetings involving leaders at the organization, Think:Kids trainers, and the Think:Kids Research & Evaluation team.
- Facilitate collaboration and communication between trainers working with the same client organization.
Qualifications
- Bachelor's degree required, graduate degree preferred.
- 3-5 years of project management experience; experience in education, clinical, or nonprofit sectors strongly preferred.
- Strong project management skills.
- Experience with project management tools, databases, and CRM systems is required.
- Proficient in MS Office, especially Excel.
- Excellent interpersonal/communications skills.
- Exceptional organizational skills and the flexibility to handle multiple tasks and deadline pressures.
- Ability to interact with individuals at all levels of an organization.
- Ability to hear others' concerns and collaborate to develop solutions.
- Ability to support and foster communication across multi-disciplinary, geographically spread teams.
