JOB DESCRIPTION:
Develop and implement District travel procedures to ensure compliance with applicable state laws and regulations, TEA requirements and all applicable auditing and accounting standards. This position will supervise the Travel Department, support District employees through the travel process, facilitate district-wide training, and process various types of travel expenses.
DUTIES and RESPONSIBILITIES:

  1. Review and approve Travel Expense Forms for travel reimbursement/advances based on District travel guidelines ensuring proper supporting documentation and coding.
  2. Prepare and process requests for travel advances and conference registrations.
  3. Reconcile travel charges to monthly statements.
  4. Manage travel cards.
  5. Research, communicate with District staff, and resolve Travel Expense Form discrepancies.
  6. Answer general travel questions for District staff regarding travel policies, pricing, geography, routing, and other travel-related questions.
  7. Compose and prepare correspondence to travel vendors regarding problems, refunds, and other situations.
  8. Track unused and cancelled travel arrangements and request refunds or advise departments of value and expiration dates.
  9. Recommend procedural or other changes to improve the efficiency of travel operations and customer service quality.
  10. Maintain and update District Travel Procedures website and forms and conduct specific training sessions.
  11. Maintain professional behavior, appearance, and work ethic to always represent the District in a positive manner and work in a team environment.
  12. Communicate effectively with tact and diplomacy and provide a high level of customer service to administrators, District officials and employees, co-workers, vendors, and outside organizations.
  13. Compile, maintain, and file all reports, records, and other documents required, including auditable records and financial statements.
  14. Maintain confidentiality of privileged and sensitive information.
  15. Maintain regular attendance.
  16. Perform other duties as assigned.
EXPERIENCE:
  • Two years of purchasing, accounts payable, accounting, or related travel management experience
  • Two years of experience at a high level of responsibility
  • Experience resolving customer-based problems
QUALIFICATIONS:
Education/Certification:
  • Bachelor's degree or combination of higher education/training and/or high school diploma plus related work experience may substitute for the degree
Special Knowledge/Skills:
  • Knowledge of purchasing laws and regulations pertaining to purchases with local, State, and Federal funds within a large organization
  • Proficiency in the use of keyboarding, Microsoft Word, Power Point, Excel, Adobe, Financial systems, web-based data management systems and banking software packages
  • Ability to effectively work individually or as a team member to perform independent duties involving auditing, training, and developing new procedures
  • Ability to prioritize tasks and coordinate multiple projects to meet specific deadlines
  • Ability and willingness to adapt to an ever-changing work environment
  • Ability to maintain records, to understand and follow oral and written instructions, to communicate and work with the public and school personnel
