The Opportunity
The Pharmacy Licensing Coordinator will be responsible for overseeing pharmacy license renewals, tracking all necessary administrative tasks, and ensuring compliance with state licensing regulations. This role will also play a key part in managing applications for changes of ownership in all states as we transition ownership.
This is a full-time hybrid role based remotely and at our Delray Beach Warehouse.
What you'll be doing:
- Oversee and manage the renewal of pharmacy licenses across all states and territories, ensuring timely and accurate submissions.
- Ensure compliance with state and federal regulations, keeping licenses up to date and compliant.
- Stay informed of changes in state licensing requirements and provide recommendations for process adjustments.
- Organize and maintain electronic and physical records for all pharmacy licensing.
- Lead the preparation and submission of change of ownership applications for all state licenses.
- Coordinate with legal teams, state pharmacy boards, and other stakeholders to ensure smooth processing of ownership change applications.
- Handle any new licensing applications related to business expansion or regulatory changes.
- Track all administrative tasks related to licenses, renewals, and ownership change applications, maintaining detailed records of deadlines and correspondence.
- Manage the organization and storage of all documents, ensuring compliance with company and regulatory standards.
- Prepare documentation and reports as needed for internal and external stakeholders.
- Act as a notary public for all necessary documents, ensuring timely and accurate notarizations.
- Provide general administrative support related to licensing, compliance, and documentation.
- You have experience in regulatory compliance, preferably within the healthcare or pharmaceutical industry.
- You have previous experience in administrative roles, particularly with a focus on compliance and regulatory documentation.
- You have a familiarity with state pharmacy board regulations and requirements, including the process for change of ownership applications.
- You have experience with document management systems and maintaining compliance records.
- You have a Notary Public certification or ability to obtain certification upon hire.
- You have the ability to manage detailed, highly regulated processes with precision and accuracy.
- You have strong organizational Skills: Strong ability to track multiple deadlines and prioritize tasks in a fast-paced, deadline-driven environment.
- You have strong communication Skills: Excellent verbal and written communication, with the ability to liaise with regulatory bodies, legal teams, and internal stakeholders effectively.
- You are great at problem-solving: Capable of identifying compliance issues and proposing efficient solutions.
- You are skilled with time management: Proven ability to manage multiple tasks and meet strict deadlines.
- You have experience with document management: Proficiency in organizing, maintaining, and retrieving regulatory documentation efficiently.
- You have research skills: Ability to stay up to date on changing regulations and proactively seek out information to ensure compliance.
