Job Description:

The Executive Assistant to the COO role plays an integral part in the overall strategic growth of our organization, as primary responsibilities will consist of managing both the business and some personal day-to-day matters of the COO. To be successful in this role, you’ll need to be exceedingly well organized and able to handle a diverse range of assignments requiring the use of experience, innovation and judgment. The Executive Assistant will work directly with C-level executives and will be responsible for performing a number of administrative duties including acting as the primary point of contact for the COO, screening incoming calls, emails and more. Heavy calendar management, as well as planning and making company trips and events for the Executive Team. This position will require the candidate to take on many roles and to be resourceful in order to free up the overall time of the COO, allowing her to devote her resources to running all operational aspects of the company.

This is a direct hire position for a proven, top-tier Executive Assistant. If proven to be an A-player, the Executive Assistant to the COO will have an opportunity for an equity stake in the company . This position will report to the Chief Operating Officer. The candidate must be seeking a long-term, in-house position.


Responsibilities:

  • Provides administrative and clerical support, performing technical tasks and executing projects of wide-ranging scope and importance.
  • Managing the executives’ calendar so their time is used effectively and efficiently, including planning work projects and scheduling of appointments with senior management and managing travel
  • Coordinate and assist the Operations team, other departments, and outside vendors to optimize processes, workflow, and daily efforts.
  • Working with company administrative staff to provide appropriate consistent and seamless communication from the top office down through the organization.
  • Assist in managing company marketing efforts, including website updates, print materials, and social media content, while coordinating with internal teams and external vendors.
  • Support HR tasks such as onboarding/offboarding, managing performance reviews, stay interviews, and assisting with annual company-wide HR initiatives.
  • Help plan, organize, and coordinate company events, including meetings, retreats, and employee engagement activities, ensuring smooth execution from start to finish.
  • Monitor and report on marketing and HR-related initiatives, providing insights and ensuring alignment with company objectives.


Job Requirement Essentials:

  • A bachelor's degree from an accredited 4 year institution or equivalent work experience.
  • Minimum of 5 years’ experience working as a Executive Assistant or similar position.
  • Technically strong with advanced Microsoft Office skills: MS Outlook, Word, Excel, and PowerPoint.
  • Strong sense of integrity and ability to manage confidential information.
  • Detail-oriented with superior organization and flexibility needed to handle large workloads daily and to meet deadlines.
  • Must be a quick thinker with exceptional problem-solving skills, able to adapt in fast-paced environments, think critically, and independently figure out solutions to complex challenges.
  • Ability to maintain attention to detail and accuracy while working with efficiency.


Preferred Qualifications:

  • Proficiency in working with spreadsheets, including advanced formula usage, and a strong understanding of relational databases and associated datasets.
  • Prior experience in mineral rights acquisitions or a similar field is highly desirable.
  • Demonstrated ability to troubleshoot basic IT issues and oversee the maintenance of office equipment.
  • Strong negotiation skills with a proven track record in managing vendor relationships and securing favorable contracts.
