Summary

DivcoWest is seeking a dynamic, organized professional to join our commercial property management team working at The Quad—one of three campuses in The Sand Hill Collection (SHC) in Menlo Park ( ). The Senior Property Manager (SPM) position requires someone who is passionate about tenant (member) relations and is comfortable in a high-touch, busy environment that includes interaction with people at various levels within and outside the organization.

The SPM reports to the General Manager-Member Experience .

This role requires 5 days in the office at our Menlo Park, CA location.

Responsibilities

  • Manage a Hospitality Services Coordinator including supervision, training, and development.
  • Responsible for day-to-day operations of the campus including security, engineering, janitorial and all aspects of maintenance and repairs.
  • Conduct property inspections and solicit bids for work via Procore platform.
  • Negotiate and prepare all vendor services contracts and competitively bid vendor services annually, biannually, or as otherwise required via Procore platform.
  • Oversee lease administration to ensure accurate records. Audit member and vendor certificates of insurance.
  • Establish and maintain a member relations program that is innovative and fosters tenant retention in collaboration with the General Manager-Member Experience.
  • Respond to inquiries regarding lease terms, billings, repairs, and escalations.
  • Respond to owner and member requests and/or concerns; create and maintain favorable landlord/member relations.
  • Review and approve all invoices via Nexus Payable to ensure proper control of expenditures and implementation of annual business plan.
  • Train, supervise and manage building staff.
  • Collaboration in preparing lease abstracts for new member files, review monthly rent roll for accuracy.
  • Maintain accurate financial records using MRI accounting software.
  • Review monthly financial statements to ensure accurate reporting. Collaborate with the regional Assistant Property in preparing the monthly operating reports by explaining budget variances in revenue, expenses and other financial issues associated with the campus.
  • Create annual operating budgets and reconcile operating expenses. Work with engineering to identify capital projects.
  • Manage construction of capital projects, tenant improvements and any other work required in the building.
  • Implement and oversee sustainability initiatives at the property. Track initiatives via Measurable, sustainability management platform.
  • Collaborate with the regional Assistant Property Manager to monitor rent collection and pursue delinquencies, including serving legal notices as necessary.
  • Support leasing program by facilitating tours and fostering positive relations with brokers.

Qualifications

  • 10+ years of experience in Commercial Real Estate Property Management preferred.
  • Excellent leadership and customer service skills with the ability to maintain a positive attitude and work both independently and as part of a team are a must.
  • Dedication and attention to detail is required.
  • MRI, Building Engines and Nexus or similar systems experience preferred.
  • Knowledge of general accounting and financing.
  • Ability to work successfully under pressure, and effectively prioritize and manage time and workload to meet property and client needs.
  • A desire to work within a diverse, collaborative, and professional environment.

Physical Demands

While performing the duties of this job, the employee is regularly required to communicate with others and exchange accurate information; operate a computer and other office productivity machinery; move about the workplace; remain in a stationary position for extended periods; and extend hands and arms in any direction. Occasionally the employee is required to lift objects that weigh up to and potentially more than 50 lbs, safely maneuver active construction zones, climb up/down ladders, and walk up/down multiple flights of stairs.
