General Description/Position Summary:

This is an exciting opportunity for a mission-driven and collaborative volunteer engagement professional to make a meaningful impact on the St. Louis Area Foodbank's vision of a nutritionally secure Missouri and Illinois. The Volunteer Services Coordinator plays a key role in supporting and expanding the Foodbank's volunteer efforts to address community needs across the 26 counties we serve in the bi-state region. This position is crucial for organizing and overseeing daily volunteer operations, including recruiting, scheduling, and recognizing volunteers. The Volunteer Services Coordinator handles inquiries, coordinates with community groups and internal teams, and promotes volunteer recognition, ensuring a positive and rewarding experience for volunteers. By managing these aspects, the Volunteer Services Coordinator contributes significantly to the Foodbank's mission to fight hunger and strengthen food security, while cultivating a dynamic and committed volunteer community.

Duties and Responsibilities:

  • Coordinate all aspects of VolunteerHub, including backend technology, updating monthly calendars, scheduling reservations, creating events, and generating reports, while ensuring the platform remains consistently updated and accessible.
  • Oversee the Volunteers inbox by responding promptly and accurately to inquiries and provide outstanding customer service through managing group project scheduling, answering questions, and addressing volunteer needs.
  • Schedule and coordinate group volunteer projects, including planning and organizing shifts, making reservations on VolunteerHub, creating landing pages, providing recognition during the project, and ensuring a fulfilling experience for all participating groups.

  • Act as a liaison between the Volunteer Repackaging Center and the Volunteer Services Department to ensure seamless collaboration and provide daily support during on-site projects.
  • Create and curate content for the monthly Volunteer Newsletter, including interviews, data collection, photography, and design to highlight volunteer achievements and updates.
  • Develop, implement, and maintain a volunteer recognition program with hourly-based rewards for lead volunteers, milestone achievements, and group recognition initiatives.

  • Assist in planning and executing quarterly volunteer appreciation events, ensuring they are well-organized and impactful, and effectively convey appreciation for volunteers' contributions.
  • Assist in tracking hours for all Volunteer Leads to ensure monthly requirements are met, and recruit and onboard additional volunteer leads as needed.
  • Provide coverage at the reception area during on-site volunteer events, including overseeing self-check-in stations, answering questions, facilitating entry, and greeting volunteers to create a seamless, welcoming experience.
  • In collaboration with the Volunteer Services Manager, continuously evaluate and improve volunteer processes and systems to enhance efficiency and volunteer satisfaction, incorporating feedback and best practices to drive continuous improvement.
  • Other responsibilities and duties as assigned.

Qualifications:

  • A minimum of 3 years of volunteer recruitment, engagement, and program experience required.
  • Certified Volunteer Administrator certification or equivalent training preferred.
  • Non-profit experience preferred.
  • Highly skilled with technology, including volunteer management systems, Microsoft Office Suite, and web-based applications. Experience with VolunteerHub is a plus.
  • Demonstrated customer service skills, consistently delivering a positive and welcoming experience for all volunteers and stakeholders.
  • Exceptionally detail-oriented and highly organized, with a proven ability to manage tasks and documentation with precision.
  • Ability to effectively manage multiple priorities that continuously evolve, ensuring that tasks are handled efficiently and adaptively.
  • Excellent verbal and written communication skills. Demonstrated excellent interpersonal and networking skills with individuals of all ages, abilities, and backgrounds.
  • Demonstrated ability to build partnerships and work collaboratively with others to meet shared objectives.
  • Ability to establish and maintain effective working relationships with diverse internal and external stakeholders.
  • Availability to work a flexible schedule to accommodate volunteer, fundraising and community events.
  • Passion for the Foodbank's mission and the ability to demonstrate SLAFB's Core Values (Stewardship, Teamwork, Agility, and Respect).
  • Must be able to successfully pass drug screening and criminal background check.

Work Schedule:

  • Monday - Friday, 40 hours per week, onsite at the Foodbank facility and in the community as needed.
  • However, flexibility will be granted as appropriate in accordance with the Foodbank's Remote Work/Working From Home Policy.
  • Occasional weekend (Saturday/Sunday) or evening hours may be required.
  • Meeting attendance may require overnight travel.

Physical Requirements:

The Volunteer Services Coordinator is expected to spend time onsite at the Foodbank, in the community, and at direct distribution events. Requirements include:

  • Walking on hard concrete surfaces (in the Warehouse or the Volunteer Repackaging Center).
  • Ability to lift and move objects up to 50 pounds.
