Summary of Position
The Talent Acquisition Assistant (TAA) provides support across Talent Acquisition functions, including recruitment and onboarding. Under general supervision from the TA Manager and TA Specialist, the TA Assistant will assist in TA functions such as opening requisitions, processing reference and background checks, following up with new hires regarding outstanding documentation, collaborating with onboarding teams, pulling data from the Applicant Tracking System and HR Information System, and assisting the Recruitment team with other talent-related tasks as needed.
Key Job Elements
- Reinforce Fulgent Recruitment and HR policies, rules, and standard operating procedures.
- Deliver excellent guest service to internal and external candidates in line with Fulgent's mission, culture, and values.
- Always act as an ambassador for Fulgent and its subsidiaries while discussing the company with prospective applicants, active candidates, new hires, current staff, and the public.
- Assist in the recruitment process, including applicant record tracking, phone screenings, candidate mining, and researching alternative candidate sources as needed.
- Schedule virtual and on-site interviews as requested by Recruiters, the TA Manager, and the TA Specialist.
- Communicate with candidates and new hires throughout the recruitment process as directed by the TA Specialist, Recruiters, and TA Manager.
- Assist new hires with the completion of reference and background check screenings.
- Assist the TA Specialist, Recruiters, and TA Manager with virtual and off-site recruitment events.
- Foster long-term relationships with past applicants, potential candidates, and new hires.
- Be cognizant of diversity, equity, and inclusion amongst candidates, new hires, and current staff to achieve employee retention, and promote higher job performance.
- Update SOP documents and email templates as requested.
- Update job descriptions for style consistency and compliance.
- Manage records for the job description library.
- File maintenance, reporting, and other administrative duties as needed.
- Participate in weekly recruitment team meetings and regular 1:1 meetings with TA leadership.
Qualifications
Knowledge/Experience
- A bachelor's degree in business administration, HR management, or a related field of studies is strongly preferred; a high school diploma is required.
- One (1) year of HR administration and/or talent acquisition experience is preferred.
- Knowledge of basic labor regulations, HIPAA compliance requirements, wage, and hour law.
- Basic knowledge of HRIS and ATS systems is preferred - Experience with Paycom is a plus.
Skills
- Personal computer skills: Microsoft Office, Excel, PowerPoint, Outlook, G-Suite & etc.
- Typing ability (50+wpm preferred).
- Proficient in oral and written communication skills.
- Communicate with confidence and clarity.
- Follow instructions and compliance requirements.
- Excellent organizational skills and attention to detail.
