POSITION SUMMARY //

As a Senior Project Manager, your job is multifaceted. You will be leading the project team for mid to large-scale projects. You will be responsible for overseeing the planning, execution, and successful delivery of complex projects within the organization. You will also manage some small to midsize projects as necessary. This role involves managing cross-functional teams, driving project timelines and ensuring alignment with the overall project budget.

WHAT YOU’LL DO HERE //

  1. Track overall budgets for assigned projects from design through fabrication and installation.
  2. Have consistent and ongoing budgetary accountability for the profitability of projects.
  3. Ensure that all projects are delivered within the agreed scope, time, cost, and quality.
  4. Interface with clients regarding the status of projects, budgets, schedules, invoicing.
  5. Oversee installs either directly or indirectly through junior PMs.
  6. Lead logistics of installs with client, install team, junior PMs, and vendors.
  7. Manage junior PMs on various tasks for larger projects or smaller projects.
  8. Delegate tasks/projects to junior PMs.
  9. Develop comprehensive project plans, including scope, goals, deliverables, timelines, and resource allocation.
  10. Create SOWs, estimates, and project bids and work with the Director of Project Management for review and approval before client submittal.
  11. Understand client contracting, purchase orders, and billing terms and drive the contract and billing process for assigned projects.
  12. Ensure deposits are invoiced accordingly, and payment is received before the job is released to production.
  13. Work closely with internal departments (Project Management, Design, Shop, and Accounting) to ensure expectations meet SPMD’s and client’s standards and job success.
  14. Facilitate regular project status meetings, providing updates on progress, milestones, and key deliverables to the project team and management.
  15. Manage project scope changes and deviations from the original plan, evaluating impacts and adjusting project strategies accordingly.
  16. Foster a collaborative and high-performing team culture, promoting accountability, transparency, and communication.
  17. Ensure the following is happening for all projects either directly or indirectly through junior PM’s, depending on the project:
  18. Issue quote requests to vendors.
  19. Write/issue POs to vendors/sending appropriate information & artwork to get the job into production.
  20. Ensure all client POs are correct and match the current SO in our system.
  21. Create critical path calendars for the project timeline.
  22. Create work orders for every component of a project and track all added documentation needed to shepherd projects from conception to installation successfully.
  23. Track jobs once in production, ensuring all parties are up to date and all information has been communicated to all parties.
  24. Advise and escalate alerts of due dates, errors, and/or changes that would cause delays or potential customer dissatisfaction to management.
  25. Ensure and assist the production process with shop operations (sourcing, materials, purchasing, calendar, reporting, etc.).
  26. Communicate expectations on each project for schedule and deliverables with the assigned team.
  27. When working with outside installers, ensure the approved SPMD Installer has been properly onboarded and briefed before issuing a PO.
  28. Follow company procedures for obtaining and maintaining COI’s.
  29. Coordination of shipping, obtaining shipping quotes, and creating shipper requests.
  30. Ensure all jobs in production have sales orders created.
  31. Ensure all receipts for projects are sent to Accounting.
  32. Closeout job within 24 hours of completion (shipped, delivered, installed).
  33. Double-check the Work Order for complete accuracy.
  34. Confirm that the approved quote has been updated with all final and accurate pricing.
  35. Confirm that all PO’s have been updated with all final and accurate pricing.
  36. Sending in job to be invoiced to accounting.
  37. Send in completed Job Cost Forms (JCFs) 100% complete and accurate to Accounting Team.
  38. Develop processes to work with the Director of Project Management to build a more efficient and streamlined department. This may include, but are not limited to:
  39. Project Budget Templates.
  40. Work Orders.
  41. Master Schedules.
  42. Implement new processes and procedures.
  43. Mentor and train PMs within the department.
  44. Identify opportunities for process improvement and best practice adoption in project management methodologies and present suggestions and solutions.
  45. Other job duties assigned by management.

Work Environment/Physical Demands

Normal office temperature-controlled conditions with quiet to moderate noise and little to no heat, dust, or fumes exposure. While performing the duties of this job, the employee is regularly required to remain in a stationary position working at a desk; operate a computer and other office machinery including printer, copier, and telephone; move about inside the office to access office machinery; exchange information with coworkers; and may need to lift or move up to 10 pounds.
