The Attorney Practice Coordinator coordinates and performs high level tasks to support multiple attorneys’ practices. Requires excellent time management, communication and organizational skills. Requires extensive knowledge of state and federal judicial systems, and agency procedures in labor and employment law. This position follows a hybrid work schedule working in-office 2-3 days per week.


Pursuant to California regulation, the salary range for this position is $43.25 to $50.50 hourly, contingent on relevant experience and education. We offer generous compensation and benefits packages.


Responsibilities

  1. Responsible for coordinating attorney support from Attorney Resource Team and other corporate departments including calendar and billing teams.
  2. Responsible for accurate and complete submissions to Attorney Resource Team, including thorough instructions and documentation.
  3. Responsible for communicating with case team to ensure that duplicate requests are not submitted to Attorney Resource Team.
  4. Responsible for verifying court and other deadlines and alerting attorneys.
  5. Responsible for creating and updating litigation matters in Virtual Binder.
  6. Responsible for accurate and timely creation of Tables of Contents (“TOCs”) and Tables of Authorities (“TOAs”).
  7. Responsible for coordinating and finalizing documents for filing with courts or administrative agencies, and service upon other parties.
  8. Responsible for e-filing documents with courts and agencies in accordance with applicable rules.
  9. Responsible for timely and properly filing in NetDocuments.
  10. Responsible for accurately creating and submitting New Client Matters (“NCM”) within firm standards.
  11. Responsible for coordinating transcription of audio recordings.
  12. Responsible for coordinating the printing and assembling of documents with office services personnel.
  13. Responsible for maintaining attorney contact lists through Outlook and Client Relationship Management system (i.e., InterAction).
  14. Responsible for timely submission of daily task log identifying projects and assignments.
  15. May be responsible for reviewing and revising client pre-bills.

Qualifications

  1. Minimum of 5 years of experience as a litigation secretary.
  2. Highly organized with ability to support multiple attorneys’ practices and coordinate multiple tasks and requests effectively.
  3. Demonstrates strong time management expertise with ability to prioritize and anticipate practice needs.
  4. Demonstrates initiative to identify, monitor and execute tasks related to case timelines.
  5. Demonstrates strong written and verbal skills to communicate effectively with internal and external parties.
  6. Demonstrates advanced knowledge and proven expertise using Best Authority to produce Tables of Contents (TOC) and Tables of Authorities (TOA).
  7. Possesses extensive knowledge of court rules and ECF procedures.
  8. Demonstrates proficiency in using MS Office, Outlook and Adobe.
  9. Experience with document management systems (i.e., NetDocuments).
  10. Demonstrates expertise in Forte to create compliant legal documents and correspondence.
  11. Demonstrates knowledge of legal terminology.
