Office Coordinator

Seaport Therapeutics is seeking an Office Coordinator. This is an exciting and unique opportunity to become part of a passionate team, and to contribute to the growth of an early-stage biotech company as it builds. In this critical role, you will serve as the primary day-to-day interface between the leadership team, the company, external thought leaders, executives, and visitors, making them feel that they are valued business partners and collaborators. This position requires you to be onsite in the Boston office five days a week, and will report to the VP, IT and Office Operations.

Responsibilities: The Office Coordinator will play an integral role in supporting the company’s administrative and operational needs including:

  • Greeting and checking-in all incoming visitors and partners as the first point of contact at Seaport Tx and ensuring a welcoming environment
  • Assist with scheduling and planning of company events
  • Fielding incoming phone calls and directing to appropriate individual
  • Manage daily catering needs
  • Maintaining conference rooms and conference room calendars, as needed
  • Organizing and maintaining office space, including Café, to keep it neat, functional and efficient
  • Order, receive and stock office & kitchen supplies
  • Receive and distribute mail
  • Coordinate various activities such as requests for ID badges, building access and parking passes
  • Provide ad hoc support on other office needs and special projects, as requested

Qualifications:

  • Minimum of two years of related experience working in a fast-paced, dynamic environment
  • Demonstrated flexibility and professional maturity to readily understand priorities, handle sensitive/confidential information and anticipate needs
  • Experience in start-up environment strongly preferred; biotech/ pharma experience will be favorably considered
  • Ability to manage conflicting priorities and deliver the most critical assignments on time
  • Must have a positive “can do” attitude, be a consummate team player, show excellent judgment as well as work well independently
  • Must be highly proficient in Microsoft office including Word, Outlook, Excel and PowerPoint
  • Must have excellent written and verbal communication skills including attention to detail and ability to effectively multi-task with a willingness to perform a wide range of tasks
  • Ability to work with minimal supervision in an ambiguous, ever-changing environment
