Description
Front Desk Admin Specialist (Atlanta)
Inspiritus' Refugee & Immigrant Services team provides services to refugees and immigrants to guide them on a path from surviving to thriving. Headquartered in Atlanta, Georgia, we provide quality services to newcomers in and around Savannah, Nashville, Birmingham, and Atlanta. Under the direction of the Economic Empowerment Coordinator, the Front Desk Admin Specialist will support the effective operation of the employment, economic empowerment, immigration, gap services, and social adjustment teams in Atlanta. The Front Desk Admin Specialist will be responsible for creating case files, developing family self-sufficiency plans, and assisting the team in documenting services in the DHS database monthly. They will be responsible for ensuring that all required documentation is complete and accurate, and that all DHS client required information is collected and documented. In addition, they will serve as the receptionist for weekly walk-in services and/or events.

  • Work Environment: This is a hybrid position requiring in-office days on a weekly basis.
  • Travel is estimated at less than 10%.
  • Standard operating hours for Refugee Services are 8:30 am - 5:00 pm. Exact starting and end hours can be discussed and adjusted with direct supervisor.
  • Compensation: $19.24 - $21.64/hour
Responsibilities:
  • Serve as the primary receptionist during walk-in days and other events, ensuring a welcoming and professional experience for all.
  • Inquire about the purpose of client visits and gather necessary information to direct them to the appropriate program or department, ensuring clients are informed of the next steps in their visit.
  • Maintain an organized and tidy waiting area, ensuring seating/hallway is clean and free of clutter.
  • Calmly address any issues or concerns that arise, employing conflict resolution skills while modeling calm and appropriate communication.
  • Communicate effectively with internal staff to ensure seamless client flow and timely service.
  • Document all services provided to clients in appropriate database(s).
  • Coordinate the logistics for in-office meetings and gatherings including technology needs, conference room layout, and refreshments as appropriate.
  • Orient clients to programs and conduct initial intakes as appropriate.
  • Complete DHS billing and documentation as assigned.
  • Contribute to maintaining each client's case file according to contractual requirements.
  • Attend all required funder trainings.
  • Conduct case file reviews to ensure that all required documents are in the case file and that services are being provided according to contractual requirements.
  • Interpret for clients as required or arranges for interpretation.
  • Coordinate activities with related Refugee Services programs to ensure provision of high-quality services offered with efficiency and economy.
  • Provide back-up services for other Refugee Services staff as appropriate.
  • Perform the above duties at out-posted locations as assigned.
  • Maintain personal and professional boundaries in the performance of the job.

Qualifications
Qualifications:
  • High School diploma and minimum of two years of previous direct work experience in administrative setting, or an equivalent combination of education and experience. Associate or bachelor's degree preferred.
  • Excellent oral and written communication skills in English.
  • Experience working in a culturally diverse environment.
  • Conviction about the capacity of people to grow and change.
  • Ability to set limits and maintain the helping role of the practitioner.
  • Excellent computer skills, accurate typing, and knowledge of Microsoft Word, Excel, and Outlook.
  • Must have the ability to communicate with all persons in a culturally competent manner.
  • Must be sensitive to the service populations' cultural and socioeconomic characteristics.

Physical Demands:
