About the Job

Under general direction, participates in all corporate and foundation grant and operations management and administration including grant or project review, project management, problem solving, staff relations, and external/donor relations. The grants process ranges from proposal preparation assistance and submission, to providing effective charitable grant management administration in compliance with University and Foundation gift acceptance policies.
The Charitable Grants and Operations Administrator is responsible for coordinating the timely day to day work flow of information for Corporate and Foundation Engagement (CFE) through its processes and database. The position is accountable for developing and providing timely and concise ongoing communications with all internal and external parties involved in the charitable grant continuum from grant submission to post award.

Starting salary: $55,000- 65,000 based on experience.
Responsibilities:
Grant Proposal Research and Submission (30%)

  • Research new grant proposal opportunities and maintain list of open grants.
  • Respond to internal and external inquiries on how to apply for grants, and manage the shared charitable grants email account for the CFE team.
  • Provide resource materials to faculty and staff to complete and submit grant proposals and applications.
  • Partner with CFE development officers to compile and submit grant applications.
  • Assist with curation and management of campus-wide RFP list in coordination with CFE team to send out monthly foundation and corporate RFP list to colleges/units/campuses.

Gift and Grant Agreement Project Management (45%)

  • Act as the central hub and project manager for charitable grant administration at UMF, collaborating with Sponsored Projects Administration (SPA), UMF Finance, and Director of Corporate and Foundation Engagement Operations.
  • Review and process incoming donor provided grant documents and proposals to assure gift acceptance compliance. Highlight areas of concern, recommend edits, and process.
  • Coordinate with UMF Finance, collegiate units, and private sector partners to process all necessary documentation for charitable grants/gifts and track and manage fund reporting requirements.
  • Serve as the point person for the CFE team on Sponsored Financial Reporting.
  • Secure approval of agreement and confirmation of roles/responsibilities from college and program departments and route for secure signature.
  • Initiate and support ongoing workflow improvement of the Grant Administration Process at UMF.
  • Manage monthly corporate and foundation pledge reminder process, reports and statements.

Advancement Operations and Project Management (25%)

  • Mange content additions to the Charitable Grant Hub with communications staff.
  • Serve as point person for CFE team with UMF Communications on UMF Connects CFE policies.
  • Serve as project coordinator for updates and improvements, reports and analysis involving: DMS, Sponsored Projects or Sponsored Financial Reporting, new fund queries, and others.
  • Manage updates and changes to CFE Administration Tab and Tableau dashboard.
  • Track and coordinate with CFE stewardship manager to gather and submit content and required data for impact reports.
  • Work with Foundation Engagement team in management of the Foundation Strategic Portfolio through action item management, developing agendas, tracking, and reporting.
  • Formulate, implement and participate in internal educational workshops.
  • In coordination with the VP and Director of CFE Operations, develop, manage, and maintain CFE budget.
  • Other duties as assigned.

Qualifications

Required:

  • BA/BS plus at least two years of experience.
  • Problem solving and research skills, with demonstrated critical thinking ability.
  • Demonstrated project management capabilities and experience.
  • Experience using a donor or customer database and demonstrated database management skills.
  • Ability to determine informational needs, to collect and analyze information, and to devise and prepare impact reports and/or presentations.
  • Ability to handle sensitive material in a confidential manner and to maintain data integrity.
  • Ability to communicate effectively, both orally and in writing for both internal and external audiences.

Preferred:

  • Specific knowledge in fundraising or gift accounting software (database)
  • Effective organizational skills with strong attention to detail; ability to prioritize support for a multi-functional work group; demonstrated ability to successfully meet deadlines; flexible, and the ability to adjust effectively to unexpected changes
  • Knowledge of grant funding policies and procedures, as well as University and Foundation process and procedures
