OVERVIEW:
The Marketing Coordinator (Meetings Administrator) plays a vital role in supporting Biodesix marketing initiatives and corporate events to help build the Biodesix brand. This position is instrumental in coordinating the details of marketing activities, managing event planning, and ensuring smooth execution of company events, including community and philanthropy activities. The coordinator will work closely with the marketing team to drive business growth through well-organized brand experiences and impactful company events in the life sciences | diagnostics sector.
This role will be performed onsite, with preference given to non-degree candidates who reside near Louisville, CO.
RESPONSIBILITIES:
The Marketing Coordinator (Meetings Administrator) provides a comprehensive range of support, including but not limited to:
Event Planning and Execution:
  • Collaborate with the brand management team to strategically plan the events calendar up to two years in advance (includes project management of the needed pieces from Marketing team members)
  • Plan and execute key internal meetings, including National Sales Meetings and President's Club
  • Develop and manage event budgets in coordination with internal teams, event organizers, and vendors
  • Source and evaluate new venues/locations for events and conferences
  • Maintain relationships with event services vendors (exhibit booth, show floor services, food, catering, hotels, swag makers, restaurants, travel, etc.)
Communication and Coordination:
  • Provide clear and consistent communication of event schedules and details to all stakeholders, including the Biodesix executive team and physician customers
  • Collaborate across departments to contribute to overall meeting plan, schedule or deliverables timeline development, brand building elements, and event logistics or project management communications
  • Develop internal logistics briefing documents for events and conferences
  • Prioritize and respond to emails efficiently
Marketing Support:
  • Research and provide input on marketing logistics, swag, collateral, and related events
  • Assist in evaluating ROI for specified events and conferences
  • Support assigned customer group meetings and events or internal team group meetings and events
Operational Excellence:
  • Work proactively and collaboratively to ensure operational efficiency and excellent customer service
  • Manage multiple priorities and deadlines effectively
COMPETENCY OR POSITION REQUIREMENTS:
  • Strong organizational and multitasking skills, with attention to detail and ability to meet deadlines
  • Excellent written and verbal communication skills for both internal and external stakeholders
  • Ability to work both independently and take initiative, and collaboratively in a team environment
  • General understanding of marketing/sales events principles and practices
  • Ability to learn and adapt quickly in a fast-paced environment
  • Strong interpersonal skills and professional demeanor
  • Experience in event planning and management, including travel, hotel, and food planning
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and automated Events Registration software (e.g. Zoom or Hubspot or other)
EDUCATION AND EXPERIENCE:
  • 2+ years of experience in a similar role supporting executives and managing marketing event administration and logistics
  • Meetings Professional International (MPI) or similar designation highly desirable
  • Experience doing the travel arrangements or events logistics for Executives, Doctors, other Officials highly desirable
  • Familiarity with planning, building, and executing the logistics for Zoom webinars
  • Experience with HubSpot (registration), Notion (or other project management) preferred
  • Non-degree candidates preferred
TRAVEL PERCENTAGE:
Minimal - 10% or none. Can be negotiated if person in role so desires.

  • Annual Base salary: $52,700 - $67,700

Individual base compensation is based on various factors unique to each candidate, including skill set, experience, qualifications, and other job-related aspects.
