Your Opportunity with ECG: Executive Assistant to the CEO
The Executive Assistant to the CEO plays a critical role in ensuring the smooth operation of the CEO’s office and enhancing the effectiveness of the firm’s executive leadership. This highly visible and fast-paced role requires exceptional organizational skills, a proactive approach, and the ability to manage multiple tasks with precision and discretion. The Executive Assistant will work directly with the CEO in a one-on-one capacity while reporting to and collaborating with the Chief of Staff to support the Office of the CEO.
Responsibilities:
- A. Executive Support
- Serve as the primary administrative partner to the CEO, overseeing complex email and calendar management, scheduling meetings, and coordinating travel logistics in line with preferences and requirements.
- Act as both "gatekeeper" and "gateway," balancing access to the CEO’s time by creating optimal outcomes for both internal and external stakeholders.
- Proactively manage the CEO’s schedule by anticipating needs, prioritizing meetings, and ensuring alignment with the CEO’s strategic goals and responsibilities.
- Serve as liaison between the CEO and firm leadership as well as key external contacts, ensuring seamless communication and follow-up.
- Manage the email inbox of the CEO, to include maintaining folders, meeting materials, and outstanding tasks; represent the CEO in communications, as necessary.
- Maintain and organize the CEO’s contacts, providing relevant context for communications and meetings to enhance engagement and effectiveness.
- Prepare and develop materials for meetings and presentations, conducting necessary research and ensuring the CEO has all the information required to make informed decisions.
- Perform special projects and/or other functions to support the CEO and the business as needed, demonstrating initiative and foresight.
- Monitor and track key deadlines, priorities, and tasks related to the CEO's responsibilities.
- Support employee engagement initiatives by coordinating activities or handling related tasks.
- Address and resolve issues as they arise, ensuring smooth operations and removing roadblocks for the CEO.
- Manage confidential and sensitive information with discretion and professionalism.
- Maintain organized files and data for the CEO, keeping information readily available when needed.
- Assist the CEO in prioritizing daily tasks, managing communications, and implementing processes to streamline administrative functions.
- B. Firm Support
- Act as liaison to the Board of Managers. Arrange logistics for meetings and assist in preparing and distributing materials.
- Act as main point of contact for Siemens Healthineers executives, facilitating communication and managing activities related to ECG’s affiliate relationship, to include calendaring meeting series and projects with Siemens leadership, organizing international travel, and balancing multiple international time zones.
- Organize and coordinate executive outreach and external relations efforts.
- Assist in the preparation of materials for internal meetings.
- Work closely with the Chief of Staff to manage workflows, administrative support for projects, and deliverables for the Office of the CEO, ensuring all tasks are completed on time and to a high standard.
- C. Office Management
- Collaborate with office assistants to assist in overseeing the office’s smooth and efficient day-to-day operations.
- Provide backup coverage for receptionist and administrative team as needed.
- Partner with the office social committee to plan and facilitate office-based events, as needed.
- Foster and support a professional, positive, and fun office culture.
- Assist with planning, organizing, and coordinating office meetings, internal and external events, and company gatherings, such as office social and community service events.
- Provide logistical support for local meetings, conferences, and events, such as client receptions and dinners, ensuring seamless execution.
Our Expectations of You:
- 5+ years of experience in an executive assistant role, preferably supporting C-level executives in a consulting or professional services firm.
- Bachelor’s degree in a business-related field or equivalent.
- Proven experience in executive travel coordination.
- Proficiency in Microsoft Office Suite, particularly PowerPoint, Outlook, and Excel.
- Superior organizational skills, an aptitude for details, and strong prioritization abilities.
- Exceptional communication skills, confidence, and professional presence.
- Experience in providing a high level of attention to details and follow-up.
- Demonstrated ability to thrive in a fast-paced, demanding environment and fully manage your own time.
- History of maintaining a high level of discretion and confidentiality.
- Ability to work under pressure of deadlines.
- Demonstrated self-confidence.
- Experience with overcoming obstacles and challenges to ensure tasks are completed.
- Demonstrated ability to take on stretch assignments with a drive to provide excellent service.

The estimated base salary range for this job is $38.46 - $48.08 hourly. It represents a good faith estimate of the range that ECG reasonably expects to pay at the time of the job posting. The actual salary paid will vary based on multiple factors, including but not limited to years of experience, special skills, and market changes. The job is also eligible to participate in ECG’s benefit plans, which include medical, dental, and vision coverage, PTO, and other wellness programs.
