Our People Readiness and Success teams are looking for a professional, team-oriented, and agile individual to serve as Sr. Executive Assistant to our Senior Leaders. As this is a fast-paced, dynamic team, you should have the ability to modify, respond to and integrate change to provide superior quality and varied support as needs evolve. In this critical role, you will:
- Provide administrative support to both the Vice President of People Readiness and the Group Vice President of People Success, Inclusion and Communications.
- Use access to the email accounts of supported staff to schedule appointments and answer or redirect routine inquiries from internal and external sources.
- Compose routine correspondence and route sensitive and priority items on a timely basis.
- Be responsible for managing or developing confidential documentation which could include human resources transactions including sensitive salary information or employee’s leave requests as well as organizational communications such as staffing rotations or organization realignments.
- Manage the leaders’ schedules, make travel arrangements, and serve as the central point for office equipment, devices, and supplies requisition.
- Coordinate internal and external meetings. This may include scheduling meeting times, making travel arrangements for attendees, compiling data for routine reports, and ensuring that various meeting amenities are available.
- Accurately transcribe, type, format, and proofread documents using word processing, production, graphics, and spreadsheet software.
- May assist in project management activities or special projects including but not limited to project planning, scheduling, budgeting, organizing, and project research.
- Works closely with the People + Culture staff to coordinate events and meetings, and act as a back-up for the other support staff.
- Act as the facilities contact and liaison for our SF People and Culture team.
Requirements:
- College degree or high school diploma with equivalent work experience as an executive assistant.
- Typically, six or more years of experience as an executive assistant.
- Exceptional written and verbal communication skills; able to communicate across all levels within an organization.
- Extreme time management, attention to detail and a drive for accuracy in work products.
- Intermediate knowledge of MS Office Suite, including Teams and Outlook.
- Ability to manage confidential and sensitive information appropriately.
- Able to multi-task and maintain a professional demeanor and positive attitude.
- Independent, self-starter who demonstrates personal motivation and proactivity.
- Excellent interpersonal skills with an ability to maintain solid working relationships as well as influence successfully in a highly matrixed organization.
Base Salary Range: Min: $78,200 - Mid: $101,700 - Max: $124,900 (Location: San Francisco)
Final salary and offer will be determined by the applicant’s background, experience, skills, internal equity, and alignment with geographic and other market data.
