Accounting Associate II - Accounts Payable Clerk


SUMMARY

This position provides support in the processing of vendor invoices, employee expense reports, and ensuring payments are made in an accurate and timely manner.


DUTIES AND RESPONSIBILITIES

  • Review checks and electronic payment runs for accuracy and scan supporting documents into a network folder. This also includes the mailing of the checks.
  • Record vendor invoices, verifying proper approval and coding and working out any problems with the buyers or vendors.
  • Perform a three-way match on Purchase Orders.
  • Review and process employee expense reports for domestic operations ensuring compliance with company's policies and procedures and accounting deadlines.
  • Research vendor and employee payments when rejected by the bank.
  • Process VMFs (Vendor Maintenance Forms) for domestic and foreign locations.
  • Handle vendors' communications/account statements, ensuring a timely and accurate response to their queries.
  • In coordination with the supported locations, resolve any issues related to invoice approval and coding.
  • Process manual check requests, as required.
  • Must be familiar with standard concepts, practices, and procedures within the accounting field.
  • Rely on limited experiences and judgment to plan and accomplish goals to perform a variety of tasks.
  • Work under general supervision; typically report to a supervisor or manager.
  • Ability to use computers and relevant software with an intermediate use of MS Excel and Oracle Financial Application (or other ERP software).
  • Overtime as required by workload.

EDUCATION AND EXPERIENCE

High School Diploma or general education degree (GED) or equivalent. Some college accounting classes preferred, but not required. Requires 2 - 5 years of experience in the field or in a related area of accounting.


LANGUAGE SKILLS

Ability to read and comprehend detailed instructions, correspondence, and memos. Ability to compose routine correspondence with attention to grammar, spelling, and punctuation. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.


MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.


REASONING ABILITY

Ability to apply commonsense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.


CERTIFICATES, LICENSES, REGISTRATIONS

Valid driver's license and a good driving record.
