Position Overview
We are seeking a dynamic and innovative Events Director to lead our events strategy and execution. The ideal candidate will have a passion for community engagement and the ability to create memorable experiences that bring our members and community together. This role requires strong leadership skills, exceptional organizational abilities, and a collaborative spirit.
Key Responsibilities
Event Planning and Execution
- Develop and implement strategies for Chamber-sponsored events, including networking events, educational workshops, community celebrations, and large-scale fundraisers and festivals.
- Coordinate all logistical aspects of events, including venue selection, catering, décor, and audio-visual needs.
- Ensure events are executed flawlessly, adhering to timelines and budgets.
Vendor and Sponsor Management
- Identify and cultivate relationships with potential event sponsors and partners.
- Negotiate contracts and agreements with vendors and sponsors, ensuring mutual benefits and adherence to Chamber guidelines.
- Maintain strong relationships with sponsors and partners to encourage ongoing support for Chamber events.
- Ensure the event sponsorship packages and agreements are being fulfilled.
Promotion and Marketing
- Collaborate with the Social Media & Marketing Director to develop marketing strategies and event promotional materials.
Budget Management
- Develop event budgets and manage financial resources effectively.
- Secure sponsorships and fundraise for chamber-related events.
- Track expenses, process invoices, and keep up with event finances.
- Provide regular budget updates to the President & CEO.
Volunteer Coordination
- Recruit and supervise volunteers to assist with event setup, registration, and other tasks as needed.
- Maintain communication with volunteers to ensure a positive and productive experience.
Post-Event Evaluation
- Conduct wrap-up meetings and evaluations following each event to assess outcomes, gather feedback, and document lessons learned.
- Prepare reports and analyses for the board of directors, highlighting successes and areas for improvement.
Qualifications
- Minimum of 2 years of experience in event planning or management, preferably within a chamber of commerce or non-profit environment.
- Proven track record of successfully organizing events of varying scales.
- Strong communication, negotiation, and interpersonal skills.
- Ability to work flexible hours, including evenings and weekends as needed.
