Job Description
  • Office Management: Oversee day-to-day office operations, including supply management, office maintenance, and vendor relationships.
  • Administrative Support: Provide executive-level support by managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Document Preparation: Assist in preparing reports, presentations, and correspondence.
  • Client Relations: Greet clients and visitors, ensuring a professional and welcoming office environment.
  • Communication: Serve as the primary point of contact for internal and external communications, including managing incoming calls and emails.
  • Event Coordination: Assist in planning and organizing company events, meetings, and team-building activities.
  • Expense Management: Track and process expenses, invoices, and reimbursements using company systems.
  • Confidentiality: Maintain confidentiality of sensitive information and manage confidential records.
  • Special Projects: Support ad hoc projects and administrative tasks as needed.

The Successful Applicant
  • Proven experience in an administrative assistant or office manager role, preferably within financial services.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and prioritize tasks in a fast-paced environment.
  • High attention to detail and problem-solving skills.
  • Professional demeanor with the ability to maintain confidentiality.
