Job Description - CCI Finance and Operations Data Analyst, BWH CCI (3309398)

The Center for Clinical Investigation (CCI) provides research support for the BWH investigator community. The CCI is designed to provide infrastructure support to the investigative community, leading to a more effective and robust clinical research enterprise at Brigham and Women’s Hospital.

Under the direction of the CCI Executive Director, CCI Finance Associate Director, and the CCI Operations Manager, the analyst will provide data and finance analytics and assistance to the CCI operations team. The analyst will be responsible for providing analysis, dashboards, and reports that support staffing, quality, administrative, and operational programs and activities. The analyst will demonstrate initiative and creativity in accessing, aggregating, and analyzing data, and provide support to department leadership in managing, interpreting, and visualizing data. This position requires the ability to engage in systematic problem solving and innovative thinking; high attention to detail; customer focus and excellent communication; and a tolerance for ambiguity, changing priorities and unexpected events. The analyst will also be involved in CCI operations clinic backup coverage, UKG timekeeper, supply ordering, and other activities related to department clinical operations.

Principal Duties and Responsibilities:

  1. Finance and Operations Analysis and Reporting:
  • Provides financial, clinical, and scheduling analytical and reporting support for all CCI areas, both inpatient and outpatient as well as our other centralized resources.
  • Develops and maintains operational and financial reporting tools (e.g., Tableau dashboards, summaries, and other internal performance reports) as needed to monitor activities and metrics and to inform the ongoing evaluation of existing projects and initiatives, for both internal and external audiences.
  • Performs ad hoc analysis and reporting for the CCI’s clinical research activities; creates pivot tables, charts, and graphics to support data requests.
  • Produces and maintains management data related to the operational needs and projects; provides support for new initiatives, departmental forecasts, and operational decisions by analyzing key performance indicators, drafting models, and creating forecasts.
  • Completes thorough quality assurance procedures ensuring accuracy, reliability, trustworthiness, and validity of work. Monitors data collection to ensure proper collection and storage of data. Develops approaches for ensuring data quality.
  • presents analytical findings in a variety of formats (reports, PowerPoint, graphs, figures, tables), formulates recommendations, and effectively communicates results to non-analytic audiences.
  • Effectively interacts with all levels of management within the CCI. Effectively communicates and presents issues to internal leaders.
  • Requests, receives, extracts, enters, monitors, analyzes, and reports data and other types of written input for various projects and initiatives.
  • Assists with and leads other analytical assignments and ad hoc reporting as required.
  • Stays informed of the changing data environment to ensure accurate data extraction.
  • Clinical Research Operations Support:
    • Supports clinics in ordering supplies and equipment.
    • Attends meetings with department leadership as needed. Takes meeting minutes, assigns action items, and completes follow-up as needed.
    • Designs, plans, manages, and tracks projects intended to streamline CCI operations and processes and enhance services to research teams.
    • Provides support via email or meetings to general CCI mailbox, Research Navigator, and other clinical research inquiries.
    • Completes Harvard Catalyst project deliverables and attends meetings as needed.
    • Acts as a backup front desk staff as needed.
  • Additional Duties:
    • Performs special projects and/or other duties as assigned. Develops and participates in projects to enhance clinical operations.

    Qualifications:

    • Bachelor’s degree required and an interest in healthcare and the use of data analysis to support clinical care.
    • At least 6 months of healthcare related experience and working with healthcare data required.
    • Strong analytical, organizational, interpersonal, and demonstrated customer service skills required.
    • Advanced skills in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and the willingness and ability to learn new applications as required.

    Skills/Abilities/Competencies Required:

    • Time Management: Exceptional organizational skills and ability to organize time and priorities effectively, asking for direction when appropriate. Flexibility to handle multiple tasks and deadline pressures.
    • Interpersonal/communication: Excellent interpersonal/communications skills and a good command of English language, including medical and scientific terminology. Requires good judgment, tact, sensitivity, and the ability to function in a fast-paced and time-sensitive environment. Astute attention to detail, commitment to accuracy and integrity of all data, reports, and communications.
    • Project management: Excellent writing and presentation skills. Excellent project management skills; ability to juggle multiple tasks and competing priorities.
    • Professional knowledge: Demonstrated ability to manage a busy office environment within the context of a large medical center and health care delivery system. A high degree of social facility in obtaining cooperation and support from a broad range of people. Ability to take initiative, exercise decision-making skills and prioritize workload. Ability to manage multiple tasks and reestablish priorities as necessary. Ability to work independently with minimal direction and in a team environment, and interact with individuals in various roles including physicians, nurses, administrators and staff.
    • Discretion and Confidentiality: Ability to handle sensitive and confidential matters discreetly and to ensure confidentiality guidelines are maintained by staff.
    • Analytical Skills: Ability to conceptualize, conduct, and present complex analysis (financial and operational).

    • Information Systems/Technology Skills: Exceptional computer skills (including operating systems, word processing, database, electronic mail, Internet, spreadsheets, OR Scheduling, and other office management systems).
