Job Title: Marketing and Events Manager

WHAT YOU'LL DO

Events:

  • Manage the day-to-day operation of the marketing and planning of events including corporate, social, and non-profit events, and internal meetings.
  • Give tours of the Conference Center facilities.
  • Conduct client meet and greet prior to the event as well as post-event follow-up as directed.
  • Create and issue event contracts.
  • Maintain vendor relationships, agreements, and certificates of insurance.
  • Manage event invoicing and event accounts receivable checks in a timely manner and report accordingly.
  • Assist clients with onsite event coordination including catering, hotel accommodations, decorations, etc.

Marketing:

  • Participate in local tourism/promotional groups.
  • Extensive networking with local, regional, and national event planners, and public relations/marketing professionals.
  • Network with corporations, non-profit associations, neighborhood associations, and national brands to promote the booking of event spaces.
  • Maintain knowledge of industry standards and practices along with competitive pricing and venues.
  • Conduct extensive tours and open house activities.
  • Develop annual marketing and business development plans and goals.
  • Develop annual marketing budget (including advertising schedule/budget).
  • Identify, develop and execute advertising pieces for printed and digital platforms.
  • Provide reports with a detailed analysis of success with networking initiatives and inquiries received.
  • Maintain SEO platforms with updated information and respond to inquiries.
  • Develop and maintain marketing materials and general event space information.
  • Maintain conference center website.

Management:

  • Responsible for the supervision of the Coordinator and Concierge, providing daily support and management of job performance.
  • Evaluate and participate in the hiring of the Coordinator and Concierge, provide training in JLL Experience Management policies and procedures.
  • Manage staff to meet JLL Experience Management and contracted client’s expectations.
  • Counsel and coach team members regarding unsatisfactory performance, including recommendation of termination when appropriate.

Administrative:

  • Create and distribute a weekly and monthly events calendar.
  • Prepare the Events monthly financial report as directed.
  • Maintain up-to-date/accurate conference center information.
  • Coordinate labor for events including janitorial and security and loading dock schedule.
  • Be knowledgeable of the conference center audio-visual equipment and its operation as well as maintain and secure equipment.
  • Contract File Administration: Keep up-to-date status of all contracts for events, preferred vendors, non-preferred vendors, etc.
  • Manage and maintain the event management software, bookings, and financials.
  • Distribute inner office memos as directed.
  • Coordinate appropriate labor for all events and as directed.
  • Coordinate security as directed.
  • Secure insurance certificates (COI) as directed.
  • File all correspondence as directed.
  • Track client payments and ensure full payment is received prior to all events.

General Event Planning Services:

  • Handle all event planning requests in a timely manner from client and contracted clients, see through from beginning to end to ensure that they run smoothly.
  • Be proactive to provide follow-up, updates, and status on any and all requests in a timely manner.
  • Other concierge-related requests, as needed.
  • Other reports, duties, meetings TBD.
